We are currently seeking to add an Operations Administrator to our team.


Job Type: Full Time Temporary (End of April/Early May to End of September/Early October)

Job Location: Giant Mine, Yellowknife, NWT

Shift Schedule: 2 weeks on / 2 weeks off (Fly-in / Fly-out, stay in camp). 12 hours per day, 7:00 am to 7:00 pm (On-site from 6:30 am - 7:30 pm)


The Operations Administrator is responsible for key tasks for environmental projects related to the Giant Mine legacy piles, landfill operations, and waste transfer station, including entering labour and equipment hours into the database, and other administrative tasks as needed.


Daily Tasks


Labour and Equipment:

  • Receive text with approved equipment and labour hours or LEM from KBL Projects’ supervisor.
  • Receive approved subcontractors’ LEMs from KBL Projects’ supervisor.
  • Enter equipment and labour hours from KBL Projects’ operators in EMS.
  • Enter LEM’s from subcontractors in EMS.
  • Enter labour hours from KBL Projects and subcontractors in Man-Hour-Tracker in Tracker’s folder on SharePoint. Note: IOC operator hours are entered on a weekly basis based on the approved On-The-Job-Training-Tracking-Sheet.
  • Enter equipment hours from KBL Projects and subcontractors in Equipment-Hour-Tracker in Tracker’s folder on KBL SharePoint.
  • Scan on paper submitted subcontractor LEM’s.
  • Upload subcontractor LEM’s in Subcontractor folder on KBL SharePoint.
  • Receive KBL Environmental daily report and upload in Daily-Reports folder on KBL SharePoint.
  • Follow up with KBL Projects’ and subcontractors’ supervisors on delayed LEM submissions.
  • Escalate to KBL Project’s supervisor as required.
  • Enter off-site truck manifest in EMS for cost tracking.

Debris Tracking:

  • Receive Scale-Tickets and Material-Tracking-Sheet from scale house.
  • Receive Load-Tracking-Sheets from rock truck operators.
  • Receive NHWL and off-site Waste-Manifests from Supervisor.
  • Update Accurate-Scale-Monitoring-Log in the Scale-Tickets folder on KBL SharePoint with info from Scale-Tickets, Material-Tracking-Sheet, Load-Tracking-Sheet and Waste-Manifest.
  • Resolve and confirm discrepancies with Supervisor.
  • Update Recycling-Load-Tracker in Recyclables-Leaving-Site folder on KBL SharePoint.
  • Update Master-Tracking-Generator in Tracker’s folder on KBL SharePoint.
  • Create and upload Scale-Log in Scale-Ticket-Tracker folder on Parsons SharePoint.
  • Upload daily Scale-Tickets in Daily-Scale-Tickets folder on Parsons website.
  • Upload Load-Tracking-Sheets in Load-Tracking-Sheets folder on KBL SharePoint.
  • Upload Material-Tracking-Sheets in Material-Tracking-Sheets folder on KBL SharePoint.
  • Upload on-site and off-site Waste-Manifests in applicable Waste-Manifest folder on KBL Sharepoint.
  • Upload Scale-Tickets in Scale-Tickets folder on KBL SharePoint.
  • Follow up with KBL Projects’ and subcontractors’ labourers and operators on delayed document submissions.
  • Escalate to KBL Projects’ or subcontractors’ supervisor if required.

Water tracking:

  • Update Water-Tracker tabs in Master-Tracking-Generator in Tracker’s folder on KBL SharePoint.

Weekly Tasks


Safety:

  • Receive signed off daily toolbox meeting and FLHA documents from KBL Project’s supervisor.
  • Scan toolbox meeting and FLHA documents.
  • Upload daily toolbox meeting in Daily Toolbox Meetings folder on KBL SharePoint.
  • Upload daily FLHA documents in Daily FLHA documents folder on KBL SharePoint.

Labour and Equipment:

  • Receive signed On-The- Job-Training-Tracking-Sheet from KBL Projects’ supervisor.
  • Enter hours from On-The-Job-Training-Tracking-Sheet as labour in Man-Hour-Tracker in Tracker’s folder on SharePoint.
  • Enter hours from On-The-Job-Training-Tracking-Sheet in labours’ and operators’ individual Project Timesheet Submission.
  • Upload On-The-Job-Training-Tracking-Sheet in IOC’s folder on SharePoint.

Credit cards:

  • Pull report with approved credit card receipts and enter into EMS.

Vendor Invoices:

  • Receive approved vendor invoices from Project Manager and enter them in EMS.
  • Upload entered invoices in Field-Tickets-&-Invoices folder on KBL SharePoint.

Qualifications


  • Understanding of basic bookkeeping principles.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook).
  • Strong problem-solving skills and aptitude for detail.
  • Experience with 4Cast Plus and Sage 300 is considered an asset.
  • High school or GED diploma.
  • Reliable, punctual, and professional in appearance and demeanor.
  • Position requires collaboration, independent working, and a positive attitude.
  • Must be able to follow both oral and written instructions.
  • Valid class 5 driver’s license
