Parts & Contractor Coordinator

Reporting to the Mill Chief Planner, the Parts and Contractors Coordinator will be overseeing the procurement, inventory management, and coordination of parts required for process plant maintenance, as well as coordinating contractors engaged in maintenance activities. The coordinator will work closely with maintenance teams, procurement, and external contractors to ensure timely availability of parts and efficient execution of maintenance tasks, contributing to the overall productivity and reliability of the process plant.

Key Responsibilities

Area 1:

Parts procurement and inventory management.

  • Identify parts and components required for maintenance activities based on work orders, equipment manuals, and maintenance schedules.
  • Liaise with procurement department to initiate purchase requisitions, obtain quotes, and procure necessary parts and materials.
  • Maintain accurate inventory records, including stock levels, consumption rates, and reorder points.
  • Update bill of materials for the process plant equipment.
  • Implement inventory control measures to minimize stockouts, excess inventory, and obsolescence.
  • Conduct regular inventory audits and reconcile discrepancies.
  • Work together with the warehouse personnel preparing and staging materials for mill maintenance activities.
  • Seek ways to improve kitting and staging processes and minimize costs without sacrificing safety or quality.
  • Perform worksite inspections and safe work observations; participate in and lead investigations.
  • Provide regular updates on parts procurement status and inventory levels.
  • Identify opportunities to optimize parts procurement processes, such as vendor consolidation, inventory optimization, and cost reduction initiatives.
  • Facilitate meetings and discussions to resolve issues, address concerns, and optimize maintenance processes.

Area 2:

Contractor management.

  • Coordinate with maintenance planners to schedule maintenance activities in alignment with production schedules and equipment downtime windows.
  • Collaborate with maintenance planners to identify maintenance tasks suitable for outsourcing to contractors.
  • Solicit bids and proposals from qualified contractors for maintenance projects, ensuring compliance with company standards and regulations.
  • Evaluate contractor performance based on predefined metrics such as quality, timeliness, and safety.
  • Follow a cost control method for the various contracts and ensured the implementation of an efficient billing verification method to reconciliate invoices.
  • Validate the amount invoiced Ensure that what is happening on the field is exactly what we are paying for.
  • Coordinate contractor activities, including scheduling, resource allocation, and site access.
  • Conduct regular safety briefings and ensure contractors adhere to safety protocols and regulations.
  • Provide regular updates on contractor activities to relevant stakeholders.

Area 3:

Operational excellence.

  • Complies with established IAMGOLD asset management process and quality standard.
  • Comply with all safe work practices, policies, and processes.
  • Offer new approaches, methods, or policies to optimize performance and ensure compliance with industry regulations and organizational standards.
  • Seek for inefficiencies or problems by being proactive and solution driven to implement operational improvements in the maintenance planning department and ensure they are shared with others.
  • Work collaboratively to troubleshoot and resolve problems.
  • Consider risk along the five dimensions (throughput, time, quality, sustainability, and cost).

Area 4:

Work collaboratively with others to deliver innovative continuous improvement opportunities.

  • Seek and implement best-in-class practices.
  • Propose new methods to meet challenges of maintenance practices.
  • Proactively research and find new ways to improve efficiency in the management of supply of parts and services.

Qualifications


Minimum Requirements and Nice To Haves

minimum qualifications, formal education, certifications or equivalents

  • Trade Certification or equivalent professional work experience with previous experience in maintenance planning, parts procurement, or contractor management within a process plant environment, preferably in the mining industry.
  • College diplomas or university degrees in a related maintenance field is considered an asset.
  • May accept candidates possessing a trades certificate in a related field of expertise with relevant experience.

Work experience - Nature & Length

  • A minimum 5 years of experience with processing plant maintenance or asset management
  • Proven experience with Computerized Maintenance Management Systems (eAM or similar).

Additional qualifications - Competency requirements

  • Highly organized with great attention to detail
  • Good time management and interpersonal skills.
  • Exercises judgement within broadly defined practices and policies in selecting methods, techniques, and evaluation criteria for obtaining results.
  • Proven communication skills, both verbals, written and non-verbal.
  • Understand efficient drivers in a mineral processing operation.
  • Self-motivated individual who is driven to find solutions and strives for continuous improvement in a fast-paced and dynamic environment.
  • Familiarity with Occupational Health and Safety Programs.
