Job Description

JOB SUMMARY


As part of a team providing client and program-centered service in the areas of reception & customer service, intake, program scheduling, records management, quality assurance and general day to day business requirements. Duties include: Responding to internal and external customer inquiries; Reception duties for visitors and clients; Processing referrals for Seniors Community Programs, including the inputting of relevant data into the Client Records Management Systems (CRMS) database and/or Intranet and Extranet database; Tracking activities, providing data and reports for review by staff within the division as appropriate; Service initiation and scheduling client visits for the Respite Companion Program.


QUALIFICATIONS


EDUCATION

  • Post-secondary diploma from an accredited college in a relevant area (e.g. office administration, business, or equivalent)
  • Additional training in software courses, including databases, and spreadsheets
  • Diversity, sensitivity and/or conflict resolution training considered an asset


KNOWLEDGE/EXPERIENCE

  • Up to 2 years of relevant experience in an office administrative environment
  • A minimum of 1 year of relevant experience in a customer-facing environment, interacting with the public and providing exceptional customer service
  • Demonstrated experience scheduling in a fast paced, multifaceted computerized environment
  • Demonstrated experience working with electronic databases, database applications and computerized spreadsheets
  • Working knowledge of Community Support Services sector and Ontario Health partnerships in meeting needs of vulnerable older adults. (or similar vulnerable populations)


SKILLS

  • Must possess above average communication and customer service skills, with a focus on client-centred service
  • Strong interpersonal and conflict resolution skills, with the ability to de-escalate difficult conversations
  • Ability to deal with confidential and sensitive information
  • Demonstrated proficiency with common business computer applications and internet navigation, including the Microsoft Office Suite of programs (e.g. Word, Excel, Access), spreadsheets, report generation functions and database applications
  • Demonstrated analytical/problem-solving skills
  • Demonstrated ability to be detail-oriented and able to track down the source of errors/inconsistencies
  • Must possess a solution-oriented way of working to ensure interactions translate accurately into the appropriate actions required to meet the needs of the programs
  • Must possess good prioritization and organizational skills
  • Must possess a high competency in computer literacy, keyboarding and data-entry skills
  • Ability to learn and develop new skills in a fast-paced environment


SPECIAL CONDITIONS

  • In accordance with the Corporate Criminal Record Check Policy, the position requires the incumbent to undergo a Criminal Records Check and submit a Canadian Police Clearance Certificate
  • Must possess a valid driver’s license and reliable transportation in order to travel to program locations as required
  • Position may require regular rotation between locations (i.e. weekly) on a scheduled basis
