The Opportunity - Program Delivery Administrator, Continuing Education & Corporate Training

The Continuing Education & Corporate Training team is current seeking a full-time Program Delivery Administrator. This essential member of the team is responsible for providing direct day-to-day logistical and Program Delivery administration as required.


Key Job Functions (detailed job description attached):

Course Coordination

  • Manage all Continuing Education & Corporate Training courses to ensure all arrangements have been confirmed and all details have been attended to;
  • Manage course set-up and post-course documentation including course materials, evaluation packages, grades are recorded and certificates are issued;
  • Coordinate all room/space bookings and setup, food/catering services, transportation, videoconferencing and troubleshooting any issues that may arise.
  • Coordinate all blended and self directed deliveries; includes creating moodle shells, updating, adding instructors and students and all correspondence involved;
  • Act as main contact with outside governing bodies in relation to grades and CEU’s prior to running a course to gain approvals and follow up with the completed documents to ensure students receive CEU credits;
  • Act as single point of contact for all Animal Use Protocol documentation and approvals. Coordinate contracted faculty to complete necessary documentation and meet all deadlines for submission to allow approvals prior to course offerings;

Administration and Student Support

  • Accounts Payable for all vendor payments and purchase requisitions within Continuing Education
  • Process registrations and receive payments. Ensure the integrity and accuracy of all such transactions,
  • Maintain an accurate knowledge of programs and procedures to assist students to make informed decisions,
  • Respond to requests from current students regarding registration, scheduling, course requirements, program completion etc.;
  • Facilitate exams – including scheduling, communications related to setting up exams, booking exam space, recording results, invigilating exams, marking;
  • Greet clients and respond to inquiries from visitors, industry clients, staff and students

Education/Experience/Skills/Knowledge Required:

  • A minimum 2-4 years of post-secondary education in a related discipline.
  • A minimum of 5 years of related work experience in a customer service focused environment where the extensive use of technology was required is essential.
  • Experience in a post-secondary environment would be a definite asset.
  • Display exceptional planning, project management and organizational skills to manage projects and priorities.
  • Ability to problem solve using strong analytical skills as required as well as exercising good judgement and discretion.
  • Demonstrates proficiency with Microsoft Office suite and Google suite. A willingness and an aptitude for learning new software quickly is required.
  • Professional with excellent communication and interpersonal skills. Ability to work independently and as part of a team. A commitment to excellent customer service is required.
  • Displays honesty, integrity, and a strong sense of ethics in all decisions and actions.
  • Must be willing to work flexible hours, as some weekend and evening work may be required.
