Job Description
Kinross is embarking on a Human Capital Management (HCM) transformation journey, implementing redesigned processes, and supporting technology, SAP Employee Central. Kinross seeks a seasoned Project Manager (PM) to lead and work closely with the senior director of the Global Enterprise Applications & IT Project Management Office (PMO), with a single mission to deliver the project successfully and achieve its business objectives. 
The PM is accountable for executing the project processes and deliverables. The PM will adhere to the Kinross IT PMO Framework to deliver the project on scope, time, budget, and quality, and ensure the implemented solution is supportable and sustainable by the HRIS team and IT. The PM will work with stakeholders from multiple Kinross departments, sites, and regions and must be comfortable managing enterprise-level HRIS projects, preferably SAP Employee Central, Onboarding, and Learning Management Systems (LMS).
Job Responsibilities
Project Initiation Management 
-Working with the Project Sponsor and Business Owner to: 
-Document project vision and success criteria 
-Document project charter to formally authorize the project. 
-Define the requirements of including scope, schedule, quality, and budget. 
-Establish the project governance structure. 
-Acquire project resources (internal and external). 
-Set up the approval process for project deliverables. 
-Oversee the creation of Functional and Non-functional requirements to ensure alignment with the Business Case developed by the Business Analyst and Project Charter / Vision Statement. 
 
Scope Management 
-Work with key stakeholders to create a clear project scope statement from the project charter. 
-Document all scope changes via the established project change management processes. 
-Protect the project scope integrity throughout the project.
 
Planning Management 
-Work closely with the Project Sponsor to create the Project Charter for authorizing projects. 
-Work with the Implementation Partner to establish the overall project plan in either Waterfall, Agile or a Hybrid Methodology
-Together with the Implementation Partner actively manage the task-level Project Master Schedule/Plan in MS Project and Service Now, including gathering effort and cost estimates as critical inputs to the Resource Plan, Schedule, and Budget. 
-Plan, monitor and manage project staffing, liaising with the resource managers for project resource acquisition/assignment, ensure accurate resource forecast and allocation throughout the project lifecycle. 
-Establish the Governance framework, as appropriate to the project, defining the membership and interaction model. 
Financial Management
-Develop a Resource Plan and Budget, actively monitor project financials. 
-Track project resource and non-resource costs, differentiating between operation and capital expenditures.
-Effectively control project cost and provide actual comparison with budget, forecast to complete and forecast at completion. Ensuring that variances are underscored and explained.
-Track all project invoices with accounts payable and prepare invoice accruals. 
 
Change Management 
-Effectively communicate relevant project information (written and verbal) to all project stakeholders at senior executive and project team levels.
-Communicate quality information concisely and clearly to capture interest, inform and gain support. 
-Communicate project technical information in a manner that business executives can understand.
-Facilitate timely and effective meetings at all levels and prepare meeting minutes with action items and decisions. 
-Together with the Implementation Partner Change Management Lead, effectively manage the delivery of the organizational change element, including:
-Knowledge transfer/training – super users and user training and delivery of operating manuals and documentation,
-Communicate based on stakeholder analysis and stakeholder groups' needs.
-Manage the transition from delivery to operation phase.
-Develop and implement the post-implementation sustainability and system adoption plan.
-Effectively manage project changes through the Project Change Request (PCR) and approval process. Present change impact analysis on scope, time, cost, and quality to the Sponsor and Project Steering Committee to help them make informed decisions on whether to proceed with the change.
 
Stakeholder Management 
-Manage the day-to-day deliverables of project resources. 
-Manage vendor delivery following the project Statements of Work. 
-Manage the project stakeholders’ expectations at all levels.
-Prepare and present steering committee status update deck and document meeting minutes clearly showing decisions and action items. 
 
Risk and Issue Management 
-Identify, define, assess, rank, and describe how project risks will be mitigated and assign accountability for the ongoing monitoring of any perceived risks that may impact the project team's ability to deliver the project successfully. 
-Identify, prioritize, address, and monitor project issues as they arise throughout the project life cycle. 
Project Team Management
-Prepare and implement project policies and procedures for all team members. 
-Clarify team members' (Kinross, SAP, and Systems Integrators) roles and responsibilities using applicable tools such as the RACI matrix.
-Effectively manage project team members acquisition, development, and allocation. 
-Coach team members as needed for project efficiency. 
-Manage the team comprised of internal and external implementation partner's Technology Area specialists and Business Subject Matter Experts. 
 
Leadership 
-Partner with senior leadership to understand the strategic importance of the project.     
-Provide guidance and leadership throughout the project life cycle, including input into staff performance development plans. 
-Drive collaborative culture recognition, awareness, and adoption by fostering highly collaborative and effective working relationships based on trust, improving collaboration among project team members. 
-Demonstrate acceptance of responsibility for individual and team performance and a strong sense of ownership and drive for results. 
 
SAP Solutions 
-Work with the Software Vendor and Systems Integrator to:
-Coordinate accessibility of all required software and services. 
-Ensure implementation proceeds on time without impacting the project timeline deliverables.
-Configuration of the software to meet Kinross requirements.
-Manage software implementation conformity with the approved design and business requirements following Kinross IT PMO standards.
-Work with designated Kinross end-users to test, document test results, and collect and store test evidence following Kinross IT PMO standards.
-Conduct system "walk-through" and issue a final defect report during each phase gate.
 
PMO Activities 
-Set up a project schedule and tasks in Service Now PPM.
-Complete bi-weekly status report in Service Now PPM.
-Provide project updates at the IT-PPM meeting.
-Assemble all project documentation in Teams/SharePoint Online with links to the project in Service Now PPM.
-Assemble and review all necessary project closeout information and prepare a project closure report.
-At the minimum, complete and store the following project management documents in the Project MS Teams (SharePoint Online) site:
-Project charter
-Project governance structure
-Team member's role and responsibility (preferably a RACI Matrix)
-Project resource allocation
-Project plans 
-High-level project plan and milestones
-Implementation schedule baseline and updated.
-Resource plan
-Configuration plan
-Data conversion strategy (if applicable)
-Integration and development plan/schedule
-Testing plan – unit, integration & User Acceptance Testing (UAT)
-Change management plan - communication and knowledge transfer.
-Detailed User access and software security plan
-Production cutover plan
-Go Live support & stabilization strategy & plan.
-Transfer to operations checklist
-Bi-weekly project status reports 
-Steering committee meeting presentations and meeting notes (minutes)
-Project team meeting agenda and notes
-Project decision, action item, risk, issue, and resolut
