About Our Client

Our client is a leading distributor, installer and service provider of metal fabrication equipment in Canada. He is looking a his/her Projects and Spare Parts Manager.

Job Description

Manage and coordinate both machinery and parts orders: Projects coordination (from placing PO with manufacturer until machine arrives to the customer following company SOP template) and Parts Management (processing parts orders both from service team and customers directly following company SOP template, essentially the same as with machines, but this one will include invoicing and shipping).
Parts (65%) about 20-30 orders a month:

  • Maintain inventory;
  • Receive, acknowledge and fulfill customers PO;
  • Schedule inbound/outbound shipping;
  • Prepare parts for shipping;
  • Track, trace and update the status of incoming and outgoing shipments;
  • Issue invoices and submit for payment;
  • Engage and maintain pricing lists with vendors and logistics companies;
  • Provide reports on parts sales;
  • Provide reports on inventory.


Projects (35%) about 20-25 a year:

  • Initiate project in ERP/CRM following company guidelines;
  • Monitor project progress with vendors;
  • Obtain from the vendor technical document package and provide it to the customer;
  • Obtain shipping information from vendor and request quotes from logistics company;
  • Obtain commercial invoice from the vendor and submit it to company broker for customs clearance;
  • Obtain packing list from vendor and provide it to the customer to arrange offloading;
  • Obtain Certificate of Origin from the vendor when required;
  • Obtain loading confirmation from the vendor;
  • Obtain shipping details from logistics company and advise customer and service department on the estimated delivery date;
  • Obtain shipping documents (BL express release) from logistics company;
  • Monitor shipping and advise customer and service department on changes if any;
  • Advise to the customer and service department on shipment final arrival date;
  • Close the project;
  • Create and maintain KPI's for areas performance;
  • Communicate with management to ensure optimal operational efficiency;
  • Other project related tasks as assigned.
