Manager, Proposal Team

Reporting to the Director, Marketing and Proposals, the Manager, Proposal Team will be responsible for managing and harmonizing the Proposal Group and Proposal Program in Canada and the U.S., and the development and management of select proposals in response to RFPs, RFIs, and other opportunities; working with the proposal team, business development team, and other subject matter experts to develop proposals that win new business. You will be responsible for the end-to-end proposal process for selecting proposals, including proposal strategy, development, writing, editing, production, and delivery. You will also be responsible for maintaining the proposal library and ensuring that all proposals are compliant with company and industry standards.

A Day in the life of a Manger, Proposal Team at Pinchin:

  • Manage the individuals, workload, and overall Proposal Program for the proposal support functions in both Canada and the U.S.
  • Establish and maintain the harmonization of the proposal function in Canada and the U.S.
  • Provide tracking, analysis and reporting to monitor the performance of the Proposal Program and address modifications as needed to improve and evolve the proposal function and deliverables
  • Lead a specialized proposal support function within the Proposal Program to address a comprehensive product that includes corporate, technical, and pricing aspects of select proposals
  • Work with stakeholders and subject matter experts to understand the client’s needs and objectives for the project in order to develop a proposal that meets or exceeds their expectations
  • Write, edit, and proofread proposals, ensuring all content is accurate, compliant, and persuasive
  • Develop relationships with key stakeholders, including clients, vendors, and company leadership, to ensure a coordinated and successful proposal process
  • Manage the proposal development process from start to finish, including coordinating team members, developing timelines, and overseeing production
  • Stay up-to-date on industry trends and developments, and connect with subject matter experts to ensure that proposals are current and relevant
  • Participate in post-mortem debriefs following the submission of proposals to identify areas of improvement
  • Serve as the primary point of contact for clients and vendors during the proposal development process
  • Conduct research and analysis as needed to support the development of winning proposals
  • Create custom templates and other resources to streamline the proposal development process
  • Maintain an organized library of past proposals, boilerplate language, graphics, and other materials
  • Manage and develop team members on proposal development best practices
  • Additional duties and responsibilities as assigned by management.

What you bring to the Pinchin team:

  • Bachelor’s degree in business, marketing, or related engineering and sciences field
  • 7+ years professional experience in proposal management, sales, marketing, and/or project management in an environmental engineering/sciences field
  • Ideally experienced with field services, project management and managing environmental engineering consulting services projects (i.e. building sciences, environmental due diligence and remediation, emissions reduction and compliance, hazardous building materials, indoor environmental quality, etc.)
  • Demonstrated success leading and managing teams through the proposal process
  • Excellent writing, editing, and proofreading skills
  • Exceptional organizational and time-management skills
  • Attention to detail and accuracy
  • Experience with private/public contracting and RFP processes
  • Proficiency with design software, including InDesign, Photoshop, and Illustrator
  • Familiarity with content management systems and CRM software (i.e. Deltek Vision/Vantage Point)
