Job description

We are looking for an Administrative Assistant to join our team and provide administrative support to our staff. The successful candidate will be responsible for managing incoming calls, scheduling appointments, maintaining filing systems, and other administrative tasks. The ideal candidate will have excellent organizational skills, be able to multitask efficiently and have strong attention to detail. We are looking for someone who is a team player and is willing to go the extra mile to ensure that all tasks are completed accurately and on time.

The primary duties and responsibilities of the Administrative Assistant are not limited to:

  • Writes, reviews and proofreads documents (correspondence, invoices, presentations, brochures, reports).
  • Open and distribute mail and other documents received.
  • Coordinates the flow of information internally and with other departments and clients.
  • Follow CEO schedule
  • Greet visitors, determine the purpose of their visit and direct them to the appropriate person.
  • Order office supplies and maintain inventory.
  • Answer phone and email.
  • Establish and maintain information file filing systems.
  • Prepares meeting minutes.
  • Arrange travel and make necessary reservations.
  • Answer and redirect phone calls
  • Organize and schedule appointments and meetings
  • Plan meetings and write detailed minutes
  • Prepare and distribute emails, memos and forms
  • Assist in the preparation of regular reports
  • Develop and maintain an archiving system
  • Update and enforce office policies and procedures
  • Order office supplies and look for new offers and suppliers
  • Maintain contact lists
  • Arrange travel
  • Submit and reconcile expense reports
  • Assist visitors in general
  • Serve as a point of contact with internal and external clients
  • Liaise with management and experienced administrative assistants to process requests from senior management
  • Perform any other related tasks delegated by management.
  • Office Management - Making sure coffee station & fridges are stocked / Dishwashers are clean and emptied

Job Type: Full-time

Salary: $20.00-$30.00 per hour
