We are currently looking to fill a 12-month contract position for a Receptionist for our Human Resources Department at our Leamington, ON location.

The Receptionist is the first point of contact for guests, visitors, and vendors whether it is in person, email or on the telephone. S/he would be answering or referring inquiries and helping guests, visitors or vendors feel welcome before directing them to the appropriate person or department. The receptionist will also be responsible for general clerical duties like inbound and out bound mail, administrative work, and general clerical/HR support.

Job Specific Duties

  • Answering, screening, and forwarding incoming phone calls, emails, and messages to the appropriate person or department as needed.
  • Greet and welcome guests, visitors, and vendors as soon as they arrive and directing them to the appropriate person or department and/or assist in addressing any inquiries they may have (when applicable).
  • Pick up, receive, sort, and distribute mail/deliveries and forward them to the appropriate department.
  • Preparing outgoing mail and preparing packages for shipment for UPS and/or Purolator.
  • Ordering and distributing office supply orders and keeping inventory of stock.
  • General office and administrative duties as assigned. This may include general filing, keeping the contact list up to date, running errands, data entry, sending packages etc.
  • Assist with recruitment; sorting, phone screening, filing, and tracking applicants.
  • Assist with company events i.e., Annual Picnic, Christmas Party, Employee Appreciation Event etc.
  • Prepare and distribute employee gifts: Baby and Bereavement. Order supplies and arrange embroidery when stock is running low.
  • General housekeeping of boardrooms, kitchen, and public areas.
  • Assists with Priva Labour Program by acting as a float when administrators are off or if an administrator needs assistance due to heavy workload.
    • Reviewing employee work and productivity data inputs every day to ensure information is correct.
    • Ensuring work activities, locations, containers etc. with Priva are entered correctly. Following up with managers and supervisors to confirm any discrepancies and correcting as agreed.
    • Overseeing work activities on a weekly basis and ensuring they are appropriate/accurate for the particular season
  • Must comply with all Health and Safety, Food Safety, Bio Security, and Nature Fresh Policies and Procedures.

Qualifications

  • Certificate in Office Administration would be an asset.
  • Previous experience as a receptionist would be an asset.
  • Friendly professional demeanor with the ability to communicate with all visitors, vendors, and employees at all levels.
  • Multi-tasking, organization and attention to detail are essential.
  • Must be able to effectively follow and give directions.
  • Working experience with Email, Microsoft 365
  • A high degree of confidentiality and integrity regarding Company related matters.
  • Able to navigate the internet to locate and verify requested supplies.
  • Must be comfortable meeting deadlines and working at a fast pace.
  • Valid Ontario driver’s license and use of personal vehicle are required.

Working Conditions

  • Daily use of communication by email and phone.
  • Office setting- walking, sitting, and standing throughout the day.
  • Full time hours Monday-Friday 8:00 AM – 5:00 PM. May be required to work after hours, holidays and Saturdays as needed.
  • Local travel required from the various NFF locations, post office etc.

Physical Requirements

  • The day may consist of walking, bending, crouching, sitting, and stretching throughout the day.
