The Department of Sport, Culture, Heritage and Tourism is seeking a dynamic and multi-skilled individual to fill the role of Records Centre Clerk. The Archives of Manitoba's Government Records Centre (GRC) is a central facility providing records storage, retrieval and disposal services to Manitoba government departments and agencies. High volumes of records are processed on a daily basis, and operations involve both physical handling of records and tracking and control. Staff are responsible for ensuring that the records are managed in strict accordance with established rules and procedures, and that security and confidentiality are maintained at all times.

Conditions of Employment:

  • Must be legally entitled to work in Canada
  • Must be able to provide and maintain a satisfactory Criminal Record Check
  • Must possess and maintain a valid full stage Class 5 Manitoba Driver's Licence
  • Must be able to obtain and maintain a valid on-site lift truck certification that will be completed on-site with our equipment
  • Must be physically capable of performing all of the required position duties including: sitting and standing for prolonged periods; crouching, bending, twisting, lifting, handling and carrying boxes weighing 0-40 lbs., frequently throughout the day; working at heights up to 25 feet; and, assisted pushing and pulling loads weighing up to 500 lbs.
  • Must be physically capable of operating powered equipment and wearing personal protective equipment.

Qualifications:
Essential:

  • Experience performing physically demanding manual duties.
  • Experience performing duties involving data entry, scheduling/logistics, tracking, filing and/or inventory control.
  • Strong organizational and time management skills.
  • Ability to work with sensitive documentation and information in a confidential and professional manner.
  • Effective verbal communication skills with the ability to provide information to colleagues and clients.
  • Strong written communication skills.
  • Strong interpersonal skills with the ability to operate as part of a team, and engage with a variety of stakeholders and clients.
  • Experience performing duties involving shipping/receiving/storing of goods and operating a powered lift truck or similar experience.
  • Ability to take initiative and work independently with minimal supervision.
  • Proficiency working with MS Office applications (Outlook, Word, Excel) or similar software applications.

Desired:
  • Successful completion of a Library and Information Technology diploma program is an asset.
  • Experience working with specialized database systems and/or information management systems.
  • Experience driving a cargo vehicle and/or performing delivery and pick-up duties.

Duties:
Reporting to the Manager, Government Records Centre, the incumbent performs a range of duties supporting the operations and services of the Centre such as, but not limited to: handling and verifying incoming shipments of records; sorting and moving records to and from storage locations; retrieving and delivering records to government offices; picking-up and refiling returned records; verifying and marshalling records due for disposition; recording detailed tracking information in official documents and in an electronic database; searching the database and preparing reports; responding to client requests and resolving problems in consultation with clients, staff and the Centre Manager. The incumbent is expected to perform all duties with a high degree of accuracy and attention to detail, and to work effectively with other staff to coordinate activities and process transactions in a timely manner.
