THE POSITION

We are looking for an experienced Records & Data Management Assistant for our Information Management department. The Records and Data Management Associate will work under the direction of the Manager, Information Management (IM), within the Historic Waste Management (HWM) Program Office. The Program Office supports PHAI projects of varied sizes from planning, through implementation to their successful close-out. The role provides corporate data and records management services to ensure CNL’s information assets are managed in accordance with well-defined policies, procedures, processes and practices. The role is responsible for records entry and data migration, data validation, reporting including on trends, flagging and addressing anomalies and responding to records and data management inquiries from internal clients. The position leads a team of IM records clerks who are responsible for entering historical records in the electronic document and records management system.

Role Specific Skills and Abilities:
  • Post-secondary diploma/degree and 3+ years’ experience in records and information management in a project environment. Preference may be given to applicants with a records and information management certificate/diploma with relevant experience, however, candidates with a minimum Grade 12 or equivalent in technical training and at least 5 years’ experience in records and information management within in a project environment will be considered.
  • Expertise in SharePoint Online and Office 365.
  • Experience with Content Server is an asset or at least 2-3 years experience with other enterprise level information/records management systems.
  • Proficiency using Excel for data quality and data analysis.
  • Must have excellent data entry skills - be highly accurate, and knowledge/experience in data management.
  • Performs data and record migration for all departments and teams as needed, using appropriate tools including, SharePoint Online, Content Server and Windows Explorer. This includes the responsibility of quality control throughout the migration process on thousands of electronic records (medium to large scale project) while also ensuring the validity of records through accurate data entry, records may be of sensitive/confidential nature.
  • Manages and maintains electronic and hard-copy records as per CNL standards, processes and systems and ensures compliance by performing regular audits and assessments on inventories.
  • Participates in special projects including to strengthen the management of project information, supports and coordinates records and data management activities on medium to large scale projects as a senior IM expert resource.

  • Must be a quick learner with an ability to easily adapt to new processes and software.
  • Must have strong communication, interpersonal skills with a focus on customer service.
  • Must have strong attention to detail to identify discrepancies and errors while managing data and records.
  • Must be courteous, tactful, influential in gaining buy-in, and have excellent oral and written (grammar and spelling) communication skills.
  • Must be well organized and able to plan and perform tasks with minimal guidance. Able to work under pressure, solve problems, and excel at project-oriented work.
  • Excellent interpersonal skills, including demonstrated tact, diplomacy, and discretion as well as the ability to effectively communicate with a diverse range of personnel.
  • Must be a team player, trustworthy and possess a professional attitude is an invaluable member of the team.
  • Strong search abilities using Content Server or other records management system
  • Must embrace the ever-changing work environment and proactively make recommendations to change, be willing to help others to accept and understand change, share their skills and proactively learn new skills.

Location:
This role is based out of CNL’s Port Hope site, however your primary work location will be remote. Although your role is considered to be fully remote, your presence at the Port Hope site may be needed on occasion and will be determined by your manager, based on internal client and project needs. CNL may require you to travel from time to time, as necessary.
CNL’s Historic Waste Program Management Office is in the beautiful and historic community of Port Hope, Ontario. Roughly 100kms East of Toronto, Port Hope is located at the mouth of the Ganaraska River on the north shore of Lake Ontario, in the west end of Northumberland County. Basically, still close enough to the “Big City” without all the hassle of being in the “Big City”.
