Temporary Part-Time (28 Hours per week)

The Town of New Tecumseth is looking for a Records Management Assistant to join our Administration team for a 4 month.

The Records Management Assistant will provide assistance to the Clerks department with the organization and maintenance of the Town’s physical records collection. This includes creating an accurate inventory of records in storage, evaluating the retention of the Town’s physical records, and organizing permanent records for transfer to the Simcoe County Archives. This position will play an important role in preparing and digitizing physical records.

Responsibilities:

  • Assist the Coordinator, Records & Information with daily Records Management tasks, as required.
  • Inventory and index physical records currently in storage and updating the Town’s Records Management database to reflect changes.
  • Assist with organization of storage space, including reboxing physical records and labelling shelves.
  • Digitize permanent records, verifying scans for quality assurance and applying necessary metadata.
  • Participate in the Town’s Records Liaison Committee.
  • Successful completion of Grade 12 High School diploma with a college level certificate in office administration, accounting, or related field.
  • Completion of Records Management courses or post-secondary degree or diploma in records and/or information management, library science, archival science, or a closely related field is preferred.
  • 2 or more years’ experience with data entry.
  • 1 or more years’ experience in file management.
  • Experience with Records Management retention schedules is an asset.
  • Demonstrated computer proficiency in MS Office (Word, Excel, Outlook) and Adobe Acrobat.
  • Superior organizational and problem-solving skills with an excellent attention to detail.
  • Demonstrated ability to exercise discretion and confidentiality.
  • Ability to lift/carry 40 lbs boxes.

The successful candidate must have the ability to align with established goals and objectives and is able to create/follow plans and processes accordingly to deliver task and goal completion to a high standard. Salary: $23.82- $28.72, plus 4% vacation pay and optional enrolment in OMERS pension plan

Hours: 28 hours per week, from Monday to Friday

Location: Town’s Administration Centre

Dates: April 29 – August 23, 2024
