Position Summary

Reporting to the Executive Director or designate, the Recruitment Coordinator is an contract position that will provide coverage pending the return of the incumbent (approx. 6 months maternity leave coverage).

The position will be responsible for the delivery of two core Comox Valley Division programs: Recruitment and Retention (RnR) and Health Promotion. Working in collaboration with local physician leads and advisory committees, the coordinator provides guidance, leadership, logistics support, and administration of Recruitment and health promotion activities. The coordinator will maintain a positive working relationship with all partners, including but not limited to the Doctors of BC, the Health Authority, and local community partners.

Qualifications:

  • Post-secondary education in a relevant field or equivalent work experience.
  • 2+ years of relevant job experience.
  • Project management and/or recruitment experience is considered an asset.

  • Ability to interpret policy and regulations, and to work independently with limited structure and supervision.
  • Working knowledge of primary care and the BC health care system an asset.
  • Strong computer literacy skills (Office 365)
  • Ability to travel to meetings as required. The incumbent will hold a valid B.C. Driver’s License and have access to a vehicle.

Primary Duties and Responsibilities:

Recruitment and Retention (90%):

  • Be the local expert on the Recruitment and practice coverage needs in the Comox Valley, working closely with family practice clinics.
  • Work closely with the RnR Physician Lead and Advisory Committee to deliver the local Recruitment and Retention strategy.
  • Coordinate the scheduling, prepare meeting material, and follow up on action items for the Division Recruitment and Retention Advisory Committee and other committees as required.
  • Connect with family practice physicians on various platforms to develop relationships, promote practice opportunities in the Comox Valley, and provide relevant information for physicians seeking to relocate or locum.
  • Coordinates and provides site visits and “red carpet welcomes” to family physicians interested in starting a practice in the Comox Valley.
  • Communicate, liaise, and engage with a broad range of internal and external stakeholders to promote Comox Valley Recruitment and Retention activities, including Division members and staff, Island Health Medical Affairs, Comox Valley Hospital, UBC Strathcona Site Residency Program, medical clinic personnel, and the Comox Valley Physician Recruitment Task Force.
  • Provide support for the UBC Strathcona Site Residency Programs including, organizing/attending events to promote engagement, working closely with UBC residents on the RnR Advisory Committee and organizing a residents’ clinic crawl event.
  • Collaborate with other Island Division Recruitment Coordinators to facilitate effective Island wide recruitment opportunities and advocate for local needs, including attending one provincial conference.
  • Prepares recruitment marketing, communication, and promotional materials (reports, guides, social media, website, resources, etc).
  • Follow up with - interested family physicians and liaise with stakeholders to connect interested parties with opportunities in the Comox Valley.
  • Track family physician placement opportunities and coordinates the administration of physician job postings, including locums, across various platforms.
  • Assist locums seeking work to connect with medical clinics seeking coverage.
  • Work In collaboration with patient attachment team to align patient attachment with physician retention and retirement strategies.
  • Work with Division staff and physicians to support the development of Patient Medical Homes and Primary Care Networks.
  • Track program metrics, collects data, conducts surveys, and provides regular activity and outcome reports to the Comox Valley Division.
  • Adhere to privacy policies, per the Personal Information Privacy Act & confidentiality policies in a professional manner to protect the integrity of the Comox Valley Division brand while engaging with Division members, stakeholders, community partners, and physician candidates.
  • Other ad hoc duties as required.

Health Promotion (10%):

Working closely with the Health Promotion Lead Physician, the coordinator delivers the Health Promotion strategy, which includes the Walk with your Doc event.

  • Through engagement and collaboration with local stakeholders achieve the health promotion program goals.
  • Work closely with physician lead and local recreation partners, plan, organize and deliver the Comox Valley Walk with Your Doc Event.
  • Build strong relationships and work closely with medical clinics (physicians, nurse practitioners and staff) to promote health promotion initiatives, engage participation, and provide resources and materials.
  • Provide progress reports on program activities, as needed.
  • Maintain positive relationships with stakeholders and project participants and represent the interests of the Division in all business interactions.
  • Following an evaluation framework, report on outcomes, successes and lessons learned.

Employment Details

  • Contract Position, approx. 6 months (Maternity Coverage).
  • Start date: March 15, 2024
  • Part-time, up to 28 hours per week.
  • Monday – Friday, flexible with ability to attend evening meetings, as needed.
  • Resides in the Comox Valley with a home office and high-speed internet.
  • $30-$40/ hour, commensurate with experience and qualifications

Divisions of Family Practice were created by collaboration between the Ministry of Health and the Doctors of BC and are community-based groups of family physicians working together to achieve common health care goals. The Comox Valley Division of Family Practice represents family physicians and nurse practitioners in Courtenay, Cumberland and Comox and the surrounding areas on Vancouver Island, BC as well as Denman Island and Hornby Island.

The Comox Valley Division gives local physicians an opportunity to work collaboratively with each other, the Vancouver Island Health Authority, other community partners and the Ministry of Health to identify health care needs in the local community and develop solutions to meet those needs. The Division is a non-profit society managed by a Board of Directors.
