Job description

Registrar/Administrative Assistant responsibilities

  • Provide administrative support to the sales team, including managing calendars, scheduling appointments, and organizing meetings.
  • Call overflow leads and book appointments for Program Advisor.
  • Assist at monthly campus open houses.
  • Assist in managing customer accounts, including handling customer requests, updating account information, and resolving customer complaints or concerns
  • Tracking and entering every student in the KPI spreadsheet, and ensuring its integrity.
  • Uploading every student record with approved third-party data storage facility.
  • Manage KPI (Key Performance Indicator) reporting process. Ensuring college is compliant with all MTCU reporting requirements
  • Responsible for registering every student into accounting software.
  • Creating Mid-Terms and Final Transcripts for all students at both campuses
  • Work closely with the Director to ensure that the college is compliant with all MTCU related reporting guidelines.
  • Responsible to create and maintain all student files to MTCU guidelines
  • Following up with Program Advisors and ensuring that all required information is provided by guidelines. Escalating any issues with program advisors to Director.
  • Responsible for maintaining Working at Heights, First-Aid, and WHMIS Safety Schedules:
  • Registering every participant in the class;
  • Organizing all safety related paperwork;
  • Scheduling instructors;
  • Sending Safety paperwork to appropriate agencies – i.e. Working at Heights to the Ministry of Labor; First-Aid to Red Cross website for certificate verification
  • Field Student inquiries
  • Assist instructors with class set-up for first day of classes
  • Preparation of all student graduation packages
  • Co-ordinate graduation days including coordinating lunch and ordering food, ensuring enough supplies, grad gifts etc.
  • Creating and maintaining payment plans and contract updates
  • Preparation of RESP letters, letters of enrollment and second career letters.

Registrar/Administrative Assistant required skills

  • Excellent communication and interpersonal skills to effectively interact with customers and internal teams.
  • Strong organizational and multitasking abilities to handle multiple priorities and deadlines.
  • Attention to detail to ensure accurate data entry, record-keeping, and order processing.
  • Proficiency in using CRM software and other sales-related tools preferably Hubspot for tracking and managing customer information.
  • Proficient in Quickbooks online
  • Solid knowledge of sales processes and procedures, including order management and customer service.
  • Ability to work collaboratively with cross-functional teams and build strong working relationships.
  • Problem-solving and decision-making skills to address customer concerns and resolve issues promptly.
  • Strong computer skills, including proficiency in MS Office Suite (Word, Excel, PowerPoint) and familiarity with sales analytics tools.
  • Excellent time management skills to prioritize tasks and meet deadlines.
  • Strong customer service orientation with a positive and professional demeanor.

Required qualifications

  • High school diploma or equivalent; bachelor’s degree in business or a related field is preferred.
  • Proven experience in a sales support or administrative role, preferably within a sales or customer service environment.
  • Ability to work independently with minimal supervision as well as collaboratively within a team.
  • Strong work ethic and willingness to go above and beyond to support the sales team and achieve sales targets.
  • Availability to work flexible hours, including occasional evenings or weekends as required.
  • Knowledge of the post secondary training sector in which the company operates is beneficial.
  • Exceptional organizational and time management skills.
  • Strong attention to detail and accuracy in data entry and record-keeping.
  • Ability to adapt to changing priorities and handle high-pressure situations with professionalism.
