Job Description


This position is responsible for providing front-line supervision and leadership (site specific) in the everyday running of the Corporate Registration Department. The Registration Clerical Coordinator will provide assistance and support to the Corporate Registration Manager in ensuring that the department is able to provide knowledgeable, professional and timely service to hospital staff, physicians, patients and their families and the public on a day to day basis. The Registration Clerical Coordinator will deliver all Corporate system building, testing, and upgrading of new and existing applications to ensure accuracy, including dictionary building and maintenance Corporately (i.e.: Referring Physician creation) while maintaining all Corporate Registration Policies and Procedures to registration staff corporately


Accountabilities:

  • Direct Supervisory Responsibilities (direct staff reporting including performance and attendance management):
    • Develop and maintain effective departmental and inter-departmental relationships
    • Motivate, guide and assist Clerical Associate Registration Staff
    • Performance management of Clerical Associate Registration staff that include evaluations, progressive discipline (letters of counsel etc.), up until Manager level intervention required
    • Ensuring staff are able to work both independently and as a team
    • Ensure appropriate staffing levels are maintained in accordance with the collective agreement
    • Ensure acceptable staff performance standards are met by individual staff members
    • Assure hospital attendance benchmarks
  • Corporate Registration Projects:
    • Assist in the completion of various registration projects
    • Provide information and assist professional, technical and support staff including external consultants
  • Develop and foster positive internal and external relationships with clients, service providers and various stakeholders:
    • Enhance and ensure collaborative decision making in the deliverance of quality services with our internal and external stakeholders
    • Provide and maintain a high standard of customer/quality service and ensure that the mechanisms in place that measure and improve customer, patient and staff satisfaction are maintained, in compliance with hospitals strategic plan:
    • Ensure front-line staff have a full understanding of the customer service/data quality standards and are provided with the necessary tools required to perform and maintain the standards effectively and efficiently
    • Foster positive relationships with patients, community partners, internal and external service providers
  • Maintain knowledge of Professional Practice Standards:
    • Ensure hospital standards, policies and procedures are up to date with the MOH standards, resulting in best practice and efficiencies for the delivery of patient care
  • Develop and foster data quality standards and maintain a high level of ongoing education for the development of front-line staff members
  • Liaise with Corporate Registration group for training of staff and registration issues or projects
  • Develop, provide and maintain the Registration Systems applications and documentation:
    • Ensure testing of all new system upgrades and/or programs are completed and ensure compatibility with stand-alone systems in clinical areas

Qualifications
  • Grade 12 or equivalent
  • College Diploma in Health/Medical Office Administration or other related area
  • Medical Office Assistant Certificate/Diploma or completed Leadership courses required
  • Minimum 5 years registration/admitting experience
  • Excellent oral, interpersonal and written communication skills
  • Excellent Customer Service
  • Must be adept at developing and managing staffing schedules, and support processes to ensure required coverage to support Corporate Registration operations
  • Working knowledge of the HIS modules is required
  • Sound working knowledge of MIS guidelines, CIHI guidelines etc.
  • Patient Registration Network of Ontario (PRNO) member

Currently Days, 8 hours, Monday to Friday (subject to change in accordance with operational requirements)
