Safety Information Management Coordinator

Number of positions: 1 Job Location: Edmonds C03

Annual salary: $ 56,400.00 - 61,900.00

What you'll do

  • Supports the maintenance of Safety Information on SafeHub, hydroWeb and safety extranet by performing such duties as:
ensuring authors and approvers are following processes for updating and approving content; providing guidance to authors
on safety content management processes; working with safety content authors and owners to develop and maintain review
cycle for safety documentation/content; tracking progress of review and following up as required; archiving outdated
documentation/content (such as safety notifications) to FileNet; updating and maintaining safety content on hydroWeb and
safety extranet; retrieving archived documentation for users upon request; and ensuring new safety content is
communicated through appropriate channels.
  • Maintains currency of convenience copies in SafeHub and safety extranet by: monitoring for content updates; updating
content file for auto-updating; entering in metadata fields; and publishing and verifying current versions have been
transferred to SafeHub and safety extranet.
  • Provides user support for employees and external contractors accessing Safety Information by: responding to inquiries or
assigning to appropriate team members as required in a timely manner; providing guidance on SafeHub functionality and
how to navigate SafeHub, hydroWeb or safety extranet to find the information they need; referring technical issues to IT
support and following up to ensure timely resolution; and maintaining SafeHub and safety extranet site permissions.
  • Assists in the development and maintenance of SafeHub training and support reference materials for users. Recommends
to management new support reference materials. Conducts classroom or one-on-one training on SafeHub functionality for
content authors and approvers as required.
  • Prepares various SafeHub, Safety hydroWeb, safety extranet and FileNet usage, user feedback and adhoc reports for
management review. Recommends enhancements to address gaps in reporting tools to management.
  • Recommends improvements to SafeHub, Safety hydroWeb and safety extranet by reviewing usage reports and user
feedback (such as changing layout of information, changing/adding metadata) to management. Prioritizes enhancements
with Sustainment Team.
  • Maintains inventory of safety printed materials for BC Hydro by: tracking and reviewing quantity required with document
owners; placing orders with printing vendor; reviewing graphics to ensure alignment with brand guidelines prior to printing;
providing printing vendors with updated documents for print; approving third party contractor orders with printing vendor;
and verifying printing vendor’s online ordering system contains current listing of safety printed materials.
  • Provides administrative and communication support by performing such duties as proofreading, distributing and updating
communications from Safety.
  • Performs duties of a minor nature related to the above duties that do not affect the rating of the job.

What you bring

  • Diploma/certificate in Business Administration or in a related field; plus two (2) years of experience in a role involved in
SharePoint administration, website administration, Information Management or a related field.

  • Courses and experience in document and records management considered an asset.

  • Requires in-house training on Web Authoring SharePoint and Hydro Share Administrator/User and specific Hydro systems
(such as FileNet and incident/problem management tool; or must complete in-house training within six (6) months of starting
in the job.
