In consultation with and under the supervision of the CEO/General Manager, the Sales Manager is responsible for the coordination of sales department events and activities at the Keystone Centre.
Job Duties
- Receive and schedule client bookings using the provided booking software.
- Ensure all relative details are accurate in the booking program and all changes are noted and given to appropriate personnel.
- Prepare invoices according to Keystone Centre policy for all clients, including all additional services and products.
- Assist clients in coordinating any related events.
- Address complaints and situations presented by customers and employees in a timely manner with a customer service attitude.
- Maintain accurate files and records of all requests, bookings and communications to avoid misunderstandings and assure accuracy.
- Attend all meetings as directed by Management.
- Follow all Keystone Centre employee policies and procedures as outlined in the Employee Handbook.
- As Sales Manager, assist sales department in exceeding budgeted room rental sales, banquet sales and beverage sales revenue numbers.
- Manage all areas of the Sales and Catering Department including booking meetings, banquets, special events and functions, liaising with clients to ensure all event requirements are met, completing rental contracts, dissemination of information to the appropriate management or staff and preparing invoices for all goods and services.
- Under the supervision and with the assistance of the V.P. of Sales/Assistant General Manager, book all significant events that occur in the facility including conventions, sporting events, motorsports, family events, theatrical and other events.
- Provide event details to all required departments and service providers through regular weekly event sheet meetings with appropriate managers, staff and service providers as required, and ensure all event details are reviewed and kept up to date.
- Follow up with appropriate managers with any changes, additions, deletions, cancellations and final meal counts.
- Ensure all details and required services are in place on the day of the event.
- Anticipate and respond to customer, staff and management needs.
- Ensure that all required information is entered into the billing system and that the client is invoiced accurately and the same information is communicated to the Finance Department.
- Assist other operational departments as required, to ensure smooth operations and customer satisfaction.
- Participate in the development of the corporate strategic plan designed to ensure the overall success of the corporation.
- Assist and provide input to the senior management team with respect to improving the financial performance of the organization.
- Maintain a visible profile within the business community and work to build strong working relationships with guests, clients and tenants.
- Assist CEO/General Manager and Executive Chef to develop and price the banquet menu.
- Develop and monitor departmental revenue and expense budgets and provide input into the budget process.
- Represent and promote Keystone Centre at conferences and trade shows that focus on events (sports, conventions, entertainment, equestrian, etc.), event management and education, hospitality and tourism, as approved by CEO & General Manager. Network locally, regionally, nationally and internationally to promote Keystone Centre.
- Perform other duties as assigned by or CEO/General Manager.
