Reporting to the Director of Housing and Shelters, the Scheduling Manager is responsible for ensuring that the scheduling department is meeting organizational requirements, is in compliance with the Collective Agreement, and is operating accurately and efficiently. This includes communicating scheduling needs to the leadership team, reporting, identifying, and addressing future scheduling issues, and monitoring the overall performance of the department.
A narrow selection of the larger scope and responsibilities for this position are as follows:
- Lead the recruitment, orientation, scheduling, supervision, and performance management of the Schedulers and Scheduling Supervisor.
- Support and oversee staff knowledge of, and adherence to, all agency policies, procedures, and practices.
- Ensure appropriate Scheduling coverage to meet operational needs.
- Ensure compliance with Cool Aid policies and procedures, the Collective Agreement, and legislation.
- Collaborate with the management to monitor and minimize vacant shifts.
- Engage in reporting, trend identification, and forecasting to capture current and future needs.
- Accommodate changes in staffing needs among the housing and shelter facilities.
- Collaborate with Human Resources and Payroll for the accurate submission of biweekly staff time and attendance data for payroll processing.
- Participate in quality improvement and risk management activities including monitoring and reporting of performance statistics.
- Establish internal processes for evaluating progress and defining measurable strategic goals and objectives.
- Investigate and, as possible, ensure successful resolution of complaints.
- Implement occupational health and safety procedures and practices as they apply to regulation and agency requirements, monitor staff comprehension, participate in risk assessments and investigations.
- Communicate scheduling trends with other managers within the Housing and Shelters Department
- Working collaboratively with department managers and human resources in regard to return-to-work planning and leave management.
- Monitor, investigate and resolve inquiries made by staff regarding shifts.
- Schedule and facilitate meetings (both within the department and inter-departmental).
Qualifications
Education
- A degree or diploma in business administration, or an equivalent combination of education and experience.
Experience
- A minimum of five (5) years of experience with computerized scheduling system, preferable in a multi-site unionized environment.
- A minimum of five (5) years of supervisory experience.
Requirements
- The Ministry of Public Safety and Solicitor General Criminal Record Check must be completed prior to employment.

- Salary: $84,594 - $91,458.
