SUMMARY OF JOB DESCRIPTION:

Under the direction of the Lead Scheduling Coordinator, the Scheduling Coordinator carries out responsibilities in the following areas: managing all scheduling processes, HEU and BCNU contract interpretation, employee information tracking, and file creation and main

REQUIRED QUALIFICATIONS:

Education & Training

  • Two years’ experience in a similar role or equivalent education and training.
  • Previous experience in using Scheduling Software (COMVIDA) is preferred.
  • Highly proficient computer skills including MS Excel, Word, Teams.
  • Experience working in a health care setting an asset.
  • Knowledge of BCNU and HEU contracts is an asset.
  • Good interpersonal skills with ability to deal with all types of people effectively.

SCHEDULING KEY DUTIES AND RESPONSIBILITIES

  • Ensures compliance with HEU and BCNU Collective Agreement.
  • Advises and supports internal positions: permanent, temporary, and casual p/t and f/t job postings and in coordination with HR.
  • Creating and maintaining employee files.
  • Ensuring compliance with internal and external requirements.
  • Responsible for all aspects of staff scheduling for union employees at Tabor Home and Valhaven, and for all employees at Tabor Court.
  • Assists with development of new rotations, as necessary.
  • Notifies Human Resources of changes to employee status.
  • Vacation planning as per organizational requirements, both short and long term.
  • Ensures all vacation and vacation leave (LOA) requests are in by September 30 and November 30 and approved by December 31 each year.
  • Shift Filling – short and long term.
  • Other leave requests as per organizational requirements.
  • Processing and tracking shift exchanges as per policies.
  • Processing and tracking overtime as per policies and collective agreements.
  • Verifying shifts worked and entered correctly for payroll purposes.
  • Making payroll corrections when necessary.
  • Providing all departments with an updated attendance log daily
  • Providing all departments with a 14-day attendance log every pay period.
  • Updating casual employee availability.
  • Notifying employees of any changes in schedules, approved or denied requests.
  • Ensures rules and provisions of respective collective agreements are implemented and followed correctly-advises human resources of any non-compliance by staff.
  • Ensures all scheduling and employee data is secured according to PIPEDA legislation.
  • Undertakes necessary training and education, to be fully proficient working with the ComVida software program (EMS).
  • Undertakes additional training, as needed.
  • All other related duties as assigned.
