Career Opportunity: School Office Administrator
The School Office Administrator is responsible for the overall administration of the school, ensuring its smooth operation, facilitating effective communication and adherence to educational standards and regulations. The School Office Administrator collaborates closely with the management team to facilitate daily operations and provide administrative assistance to both staff and parents.
Position Status
While a permanent full-time role at Ashwood Glen, the School Office Administrator position is a tenured position for one year.
Major Duties and Responsibilities
· Foster a positive and welcoming school atmosphere, prioritizing a friendly environment.
· Represent the school professionally and maintain a welcoming atmosphere for community members through in-person interactions, phone calls, and online correspondence.
· Assist in managing the daily operations of the School Office in alignment with school policies, serving as a point of contact for parents regarding routine school matters.
· Take charge of the student database and management system within the School Office, ensuring precise data entry, upkeep, and generating necessary reports as needed.
· Assist with the coordination of school emergency evacuation drills and procedures.
· Assist the School Office team with the organization and management of school events
· Coordinate and assist with school field trips and arrange transportation as needed.
· Coordinate the food service program, student photos and other auxiliary services.
· Organize procedures for school entry and departure, including traffic flow and promoting active travel initiatives.
· Oversee and ensure housekeeping and kitchen supplies are adequately stocked and being managed in a fiscally responsible manner.
· Orders - non-classroom materials such as office supplies, first aid supplies, etc.
· Connect with outside vendors for procurement and orders etc as needed
· Oversee student enrollment, admissions, and registration processes, ensuring compliance with regulatory requirements.
· Coordinate admissions events such as orientation sessions, information sessions, and student shadow days
· Conduct regular inspections of facilities to identify maintenance needs, safety hazards, and compliance issues.
· Coordinate with maintenance staff or external contractors to ensure the upkeep and safety of school facilities, including buildings, grounds, and equipment.
Qualification and Personal Specification
The ideal candidate for Office Administrator position:
· Hold a bachelor’s degree, or equivalent, and have a minimum of five years of administrative experience
· Have exceptional customer service skills, encompassing superior written and verbal communication and a proven ability to build relationships with a diverse range of individuals.
· Have thorough understanding of tact, diplomacy, empathy, and the importance of confidentiality.
· Is proficiency in Google Suite and Microsoft Office, with expertise in spreadsheets, including the ability to create formulas and manipulate data to streamline processes.
· Have strong project management and problem-solving abilities, characterized by critical thinking, analytical prowess, and meticulous attention to detail.
· Has genuine interest and enthusiasm for working with young adults and children.
