Adecco is currently seeking a full-time Senior Executive Assistant for our esteemed client, a Canadian-based energy company located in Calgary, AB. In this pivotal role, you will be responsible for performing a wide array of complex and confidential administrative duties, while also playing a key communication role in support of the VP & HR.

The Senior Executive Assistant position demands a high level of confidentiality, sensitivity, initiative, and independent judgment.   • Location: Calgary, AB | Hybrid | 4 days in office, 1 day work from home

  • Shifts: Monday to Friday | 8 hours/day

  • Job type: Temporary | Full-time | 1-year contract

Responsibilities:

·       Manage complex and ever-changing day-to-day schedules of the VP, HR via Microsoft Outlook

·       Anticipate all needs of the VP, HR by thinking and working proactively with a one-step-ahead mentality

·       Prepare meeting materials, including agendas and presentations

·       Oversee the effective document management for the VP, HR; maintain, prepare, review and support in all aspects of records and information management

·       Assist in regularly creating and editing memos and PowerPoint presentations

·       Coordinate domestic and international travel arrangements; prepare detailed travel itineraries inclusive of flights, visas, hotels, meeting agendas, etc.

·       Oversee personal and departmental expenses submitting all necessary invoices in Concur in a timely manner

·       Learn and act as a backup for the HRCC process

·       Act as the back-up for the HR Administrative Assistant

·       Manage all Human Resources Leadership Team documentation, follow up, action log, etc.

·       Manage all aspect of coordination/booking for the Human Resources Townhalls, meet and greets, etc.

·       Handle confidential information meticulously; escalate any required information with discretion

·       Update the HR All and HRLT Sharepoint as required

Qualifications:

  • Must be legally eligible to work, and reside in Canada

  • 7+ years of experience supporting executive leadership

  • Preference for candidates with Oil and Gas industry experience

  • Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Teams, SharePoint)

  • Strong communication skills, both written and verbal

  • Ability to thrive in a fast-paced environment with a positive attitude

  • Exceptional organizational and project management skills

  • Detail-oriented with a proactive and solution-oriented mindset

  • Experience managing highly sensitive information with discretion and professionalism

  • Consistent desire to go above and beyond in all capacities
