Job Summary
The Registrar’s Office (RO) is a large, multi-unit, multi-site operation involved in the entire academic experience of Dalhousie students, from recruitment and admissions through to convocation and beyond. The RO provides critical assistance in support of the academic mission of the institution through a wide range of functions and services, and is responsible to safeguard the integrity of institutional policies and student records. The RO Mailroom is the central point for receipt, sorting and initial processing of all incoming mail, faxes and courier deliveries for the RO. It is also responsible for managing all outgoing mail via Canada Post, courier, or email (admission letters), including the preparation of a large volume of information packages related to the RO recruitment and retention efforts, ensuring accuracy of mailing services and cost efficiencies. On an annual basis, the Mailroom receives and processes more than 25,000 pieces of mail, indexes 90,000 documents to student records, forwards 15,000 documents to various departments across campus, and ships 60,000 Recruiter view-books around the world.

Key Responsibilities
  • Administer the daily operations of the RO mailroom, including preparation of large mailouts, shipping of materials and tracking of print material inventory.
  • Assist with functions supporting the Processing Unit, including a wide range of inquiries, concerns, complaints, requests for information and registration.
  • Support Admissions, Recruiting, Awards and Convocation units with letter generation, recruitment mailouts, and parchment mailout.
  • Maintenance of accurate list of all procedures and manuals, inventory management, courier liaison and oversee daily function of mailroom student assistants.

Note
The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work) as agreed by all parties based on operational requirements and university guidelines.

Required Qualifications
  • Business / Office Administration program with approximately five years’ related work experience in a high-volume document processing, customer service / contact centre environment.
  • Proficiency in MS Office and experience with integrated administrative systems (e.g. Banner, Web Xtender, SARS)
