We are presently seeking a Site Administrator for our Irving Oil Refinery in Saint. John, New Brunswick. Reporting to the Site Lead Administrator, the Site Administrator is responsible for coordinating all activities relating to payroll entry, billing, tag management, purchasing and customer service.

Key Responsibilities:

· Submit requisitions for orders and enter goods receipts in purchasing system;

· Log purchases and submit to customer for required approvals;

· Communicate purchasing information to suppliers;

· Review, verify, and file all timesheets for employees, ensuring all fields are completed;

· Time entry, and processing new hire and termination forms;

· Reconcile swipe data information against timesheets and make appropriate adjustments.

· Process, balance and retain weekly payroll timesheet data entry.

· Verify Purchase Orders and Work Orders;

· Balance hours with customer on a daily basis;

· Provide reports to supervisors/foreman as required;

· Update scaffold logs, productivity logs and track equipment movements;

· Maintain a weekly labor spreadsheet for mobilizations and tracking;

· Compile employee time, production, and payroll data from time sheets and other records;

· Review time sheets, work charts, wage computation, and other information in order to detect and reconcile payroll discrepancies;

· Verify attendance, hours worked, and pay adjustments, and post information onto designated records;

· Issue and record adjustments to pay related to previous errors or retroactive increases;

· Respond to customer requests and inquiries;

· Provide support for all site supervisors;

· Create and maintain accurate onsite electronic and paper files;

· Perform order entry;

· Attend regular update meetings with customers

Qualifications:

· 1-3 years of related experience with purchasing, billing or timekeeping is an asset;

· Grade 12 Diploma, post-secondary education in business is an asset;

· Knowledge of Profield is considered an asset;

· Health & Safety training is considered an asset;

· Previous experience in the construction industry is considered an asset;

· Intermediate working knowledge of Microsoft Office including Excel and Word;

· Excellent written and verbal communication skills;

· Strong time management and organization skills in order to meet various competing deadlines;

· Ability to interpret a variety of instructions (i.e. written, oral, diagram, or schedule form);

· Proactive, you are the person who asks “What can I do to help?” and then takes action to ensure success;

· Strong attention to detail, and high-level multi-tasking abilities are critical;

· Ability to self-motivate;

· Ability to work within a team and build a positive team environment;

· Ability to adapt to an ever-changing work environment with competing demands;

· Ability to display sound and accurate judgement, with the ability to resolve problems in a timely manner
