Primary function

This position is primarily responsible for management of the Windsor and London District offices and operations. This role will require travel throughout the west district.
Home Location: Either London or Windsor District Office
Reporting To: Manager, District Operations

Key accountabilities

  • Reporting and HR responsibility for the current London and Windsor District Office (DO) staff
  • Other HR responsibilities: Recruitment/onboarding; Computer Access; Performance Excellence Program (PEP) for DO staff; Staffing Inventory; OPSEU issues; DO Staff Meetings; Daily Management of DO staff in person or remote
  • Assisting the Manager, Director Operations (MDO) with Empanelment/Roster management; New Empanelment’s follow up needed; Changes to rosters, Address, Banking, etc.
  • West District Domestic Violence Services; 2 Hour Authorization Form- approving accounts; Application from Shelters; Adherence to Program
  • DO offices; OHSA Monthly inspections; Ordering supplies/ requisition process
  • Updating Referral lists; Stakeholders; Clients; Legal Aid Workers; Correctional Facilities; Domestic Violence Agencies
  • Assisting the Manager District Operations and Director General with responding to Stakeholders- Client Service Centre (CSC) / Lawyer Service Centre (LSC) request for reviews, interdepartmental inquiries, local agencies, lawyers and members of the public
  • Certificate Management - transactional work and supervision of DO staff; Review of LSC or CSC interactions
  • Supervise day to day operations of the West District offices in order to provide client service excellence, ensuring effective use of resources and that key departmental goals are met.
  • Lead a team of unionized staff; coaching them on meeting their individual targets, supporting them in performance goals.
  • Support the team in the understanding and application of Legal Aid Ontario’s (LAO) policy and procedure, specifically around client triage and intake, including application and certificate management.
  • Monitor client interactions for quality and provide constructive coaching and feedback in order to deliver excellent client service.
  • Monitor, measure, analyze and escalate issues as appropriate
  • Compose correspondence and accurately respond to client inquires and complaints regarding LAO’s policies and procedures under the direction of the Manager District Operations or Director General.
  • Collaborate and coordinate with district and provincial office partners in the delivery of our Continuum of Service.
  • Other related administrative and supervisory duties as required

Required skills & experience

  • Intimate knowledge of LAO and its operations (as they relate to criminal, family, refugee, and civil law, as well as duty counsel processes) to directly provide outstanding service to our diverse client base
  • Leadership experience motivating, developing and encouraging staff.
  • Experience dealing with the interpretation and application of procedural legislation and regulations
  • Strong background in providing direction and guidance to staff (i.e. general legal information, community referrals, etc.)
  • Demonstrated proficiency with PeopleSoft and with Microsoft Office
  • Outstanding problem solving, conflict management and analytical skills
  • Excellent written and verbal communication skills
  • Well-developed customer service and relationship building skills
  • Preference will be given to candidates that have demonstrated proficiency in oral and written French
  • The ability to provide on site or remote, day to day or as needed supervision of DO staff.
