- Responsible for coordinating timely completion and transmission of CIHI and Ministry of Health data (DAD, NACRS, NACRS Lite (Bundled Care)) by scheduling, motivating, troubleshooting, and tracking progress made by the Health Information Specialists.
- Health Information Management Administrator – Scheduling service upgrades for HIM (MED2020) shared server with our partner sites.
- Communication and Coordination with Mental Health (OMHRS) and Rehab (NRS) teams on their progress with their required data set elements that are entered into Med2020 for their submissions and mandatory deadlines.
- Assist the Manager with interviews and selection of Health Information Specialists.
- Prepare Performance Evaluations for Health Information Specialists.
- Initiate, prepare and support HIM Specialists and other relevant staff through performance improvement plans
- Manage performance and behavioural concerns, inclusive of potential disciplinary matters under the guidance of the Health Records Manager
- Assist the Manager in future HIM resource planning.
- Assist the Manager in developing / maintaining coding performance statistics and other related measures.
- Maintain Med2020 report writing skills and provide reports to the department as required.
- Responsible for developing, implementing, monitoring, updating, and enforcing department policies and procedures related to coding and data quality which will include developing efficiencies in Meditech Echart for coding and abstracting.
- Develop methods including audits, edits, or reports that will monitor data quality in the CIHI abstracting system and other systems that feed into the abstracting system.
- Act as a resource to facilitate Registration corrections as they relate to coding and abstracting.
- Test new or updated abstracting software applications when applicable for approved project initiatives outlined and led by the Manager to ensure compatibility with existing systems and adequate functionality.
- Act as liaison with IT department as required to maintain the functionality of the VMware Virtual Desktops for HIMs that work remotely.
- Communicate effectively with physicians, nurses, and paramedical staff to ensure the comprehensive, timely and accurate completion of the patient record.
- Act as a resource person for new Health Information Management employees and assist, guide, and mentor them during the training and orientation period.
- Achieve or exceed departmental and hospital approved productivity and data quality standards.
- Participate in regular monthly, quarterly interdepartmental hospital working groups.
- Safeguard the confidentiality of all Health Information in accordance with Personal Health Information Protection Act, Public Hospitals Act, ethical and legal requirements of the institution and CIHI guidelines.
- Perform other position appropriate duties as they relate to the Supervisor HIM/Data Quality role in a competent, professional, and courteous manner.
- Certification and membership with the Canadian College of Health Information Management Professionals
- Graduated from a post-secondary diploma or degree program relevant to obtaining the above Certification
- A minimum of 1 year in a leadership role, preferably working in an acute care hospital Health Records department
- A minimum of 3 years inpatient coding experience in ICD-10-CA and CCI, as well as experience in ER, Day Care coding in an electronic environment
- Report Writing skills in the Med2020 abstracting system is an asset.
- Have strong interpersonal communication skills, oral and written.
- Excellent organizational skills, attention to detail, and accuracy
- Knowledge of Office 365 and Meditech
- Knowledge of medical terminology
- Minimum typing of 50 w.p.m.
- Ability to work under pressure with deadlines
