Polykar is hiring for a Supply Chain Assistant

Reporting directly to the Director, Supply Chain and Logistics, the Supply Chain Assistant will work closely with the production, quality assurance and office administration to establish a unit to oversee all procurement cycles both for factory and office based.

Roles and Responsibilities

  • Accepts purchase requests from various departments and monitors/tracks the purchasing cycle by utilizing the ERP system (Radius) from purchase orders to invoicing (Issuing, revising, sending, tracking, and closing PO’s).
  • Complete recurring purchases, when necessary, by obtaining quotes, preparing requisitions and subsequent follow-up with selected supplier (e.g. approved carriers (CA + US), office supplies, health, and safety supplies etc.).
  • Follow-up on queries or issues that arise related to schedules, materials, or deliveries.
  • Review and approve purchasing and carrier invoices.
  • Complete monthly updates of material costs on Radius.
  • Update receiving calendars for upcoming deliveries.
  • Assists and provides support to Supply Chain members and Management, as required, to send reports, POD’s, and other related documents to purchasing operations.
  • Greet visitors by welcoming and directing them appropriately and notifying relevant employees when visitors arrive.
  • Accepts deliveries and ensure all mail and packages are distributed accordingly.
  • Maintains office supplies inventory by checking, anticipating needed supplies: office furniture, placing and expediting orders for supplies and verifying receipt of supplies. Keeps a record of office supply inventory and expenses.
  • Participate in inventory processes and assists in annual inventory audit.
  • All other related duties as required.

Qualifications and Experience

  • College diploma in administrative required. Education with a focus in procurement, logistics, Supply Chain management or a related field is a definite asset.
  • 1-2 years experience in a similar administrative role preferably in a manufacturing environment. Equivalencies with education and experience will be considered.
  • Plastics product and market knowledge, an asset
  • Ability to learn new systems and software with ease (e.g. ERP system).
  • Excellent attention to detail including strong organizational and time management skills.
  • Ability to multi-task, adapt and take initiative.
  • High tolerance for a fast pace working environment and ability to effectively manage stress.
  • Proficient with MS Office suite (Word, Excel & PowerPoint, etc.)
  • Ability to maintain constant communication and collaborate with stakeholders (e.g., operations, production, customer service, etc.)
  • Strong communication skills in English. French proficiency in written and verbal considered an asset.
