Job Summary
We are looking for an enthusiastic and interpersonal individual to join our office services team. Reporting to the Office Services Manager, The Switchboard Operator represents the organization in a professional, positive, and upbeat manner as the first line contact with our customers (internal and external). Additionally, they must ensure callers/visitors are directed to appropriate person in a timely fashion to enable quicker response time for business decisions. The Switchboard Operator must demonstrate a strong work ethic, be highly organized, self-motivated, and able to manage their time based on priorities and deadlines. This position will need to be a team player with a positive attitude, creativity, and the ability to provide outstanding customer service and value.
Responsibilities
- Ensuring minimal inconvenience to callers trying to reach employees of our company – prompt answering, transferring, messages
- Reception Duties: greeting visitors, answering phones, taking messages
- Maintaining Reception Area: ensuring cleanliness of reception area, security of front doors (lock/unlock), maintaining night service and extended greeting on phones as required
- General Office Support: provide various departments with general clerical support as needed while ensuring the phones maintain #1 priority at all times
- Troubleshooting – identifying and communicating any technical issues with regard to switchboard console and directing the issue to the supervisor for action. Maintain log of technical issues for management review
- Provide administrative support to the HR team
- Maintaining Company Phone Lists
- Ensure deliveries are directed to the proper location when mailroom coordinator is not available. Arranging pick ups for intra-city couriers
- Shares knowledge with others in department to assist in promoting a better-trained workforce
- Operate switchboard and transfer calls to 200+ extensions;
- Provide prompt service in a professional and friendly manner;
- Relay accurate messages to recipients;
- Greet and direct customers, suppliers and guests;
- Log IT/computer support requests
- Other duties as assigned
Technical Requirements
- Completion of high school diploma or equivalent
- Exceptionally competent in Microsoft Office (Excel, PowerPoint, Word)
- Previous experience with JD Edwards would be considered an asset.
- Ability to manage multiple priorities, work well under pressure, and possess strong organizational skills.
- High degree of confidentiality and judgement coupled with effective communication.
Business Requirements
- Ability to work in a fast-paced environment while managing multiple tasks.
- Experience working within the construction field would be considered an asset.
- Strong attention to detail and quality.
Cultural Requirements
- Strong interpersonal skills and highly collaborative approach to working with others.
- Excellent business writing and grammar skills with the ability to create documents and presentations.
- Ability to work extended/flexible hours based on project requirements.
