Valard is a full-service EPC+ utility contractor with four decades of experience, successfully completing projects across Canada.

Reporting to the Tender Manager, the Proposal/Tender Coordinator will be responsible for coordinating and developing proposals, tenders and qualifications responses focused on Transmission, Substation, Distribution or Telecommunications. This individual will coordinate with clients, internal departments and subject matter experts during all stages of the bid life cycle. They will provide support in sourcing opportunities, gathering information, developing win strategies and differentiators with the goal of strengthening proposal content and presenting a consistent brand with a consistent message to our clients.

To succeed in this the position, the individual must possess the ability to complete the full proposal life-cycle with both limited supervision and as part of a team. Strong organizational skills and a proficiency for problem solving are key attributes for success in this role.

Requirements:

KEY (CORE) DUTIES AND RESPONSIBILITIES: * Act as a primary liaison with the client during the bidding stage from initial inquiry to the post-bid stage
  • Identify response deliverables, establish submission schedules and communicate responsibilities and accountabilities to the response team
  • Coordinate proposal kick-off and review meetings, identify and track action items and maintain communication with team members regarding deadlines and requirements
  • Proofread proposals to ensure they follow company standards for accuracy, quality writing, marketing focus and brand
  • Ensure all prepared tenders, proposal and qualification submissions are high quality, compliant and communicate our capabilities and value of service
  • Submit proposal responses using a variety of systems and methods; electronic, online bid portals, email and hardcopy
  • Assist in developing and implementing win strategies, key messages, marketing themes and differentiators in proposal submissions
  • Coordinate and log Bid Debriefs and Lessons Learned so that it can be applied on future submissions
  • Create and update boiler plate documents, templates, project profiles and team member resumes
  • Document management and distribution of client documents to the response team
  • Maintain information in our in internal systems as well as adhere to reporting requirements
EDUCATION AND EXPERIENCE: * Post-secondary diploma or degree in Marketing, Communications, Business, or related discipline
  • A minimum of 3 years of experience in a tender coordinator role
  • Demonstrated technical writing experience
  • Previous experience in an EPC company
  • Demonstrated experience in working in a schedule driven environment
  • Basic reading level of French would be an asset
KSA'S (KNOWLEDGE, SKILLS, AND ABILITIES, and PERSONAL ATTRIBUTES): * Strong verbal and written communications skills, high level accuracy in spelling and grammar
  • Ability to work in a challenging and sometimes stressful environment as you manage competing tasks
  • Extremely organized and a keen attention to detail
  • Ability to develop and maintain positive relationships with a diverse range of disciplines in a dynamic business setting
  • Extensive experience in Microsoft Office, Visio and Project as well as Adobe Professional or Bluebeam
  • Highly motivated, strong work ethic and team player
  • Ability to adapt, improvise and problem solve
  • Experience with Acrobat and/or SharePoint would be an asset
