The role of the Trust Officer (TO) is ultimately responsible for the estate and trust settlement by taking accurate, efficient and timely actions to meet client service commitments. The TO leads the comprehensive administration and ensures a consistent application of process, workflow and policy. The Trust Officer along with the Trust Administrator and Tax Officer will compliment and support the sales, business development and client relationship responsibilities of the MDPT Regional Estate & Trust Advisors and Regional Trust Officers. Success in this role is dependent on collaboration in the delivery of the estate settlement services for MDPT.

Is this role right for you? In this role you will:

    • Leads the estate and trust administration of more complex accounts with assistance and support of Trust Administrator, Tax Officer, Estate & Trust Advisor and Regional Trust Officer
    • Reviews all new estate and trust account documents and related forms for thoroughness, accuracy and consistency
    • Ensures all estate and trust administration is in accordance with terms of the governing documents, relevant provincial legislation and MD policy.
    • Preparation of all required technical correspondence and documents, ranging from government, financial institutions, other organizations, beneficiaries, co-executors and others
    • Identifies matters requiring the exercise of discretion and participates in and assists the Discretionary Decision Process by gathering relevant technical information and resources, making recommendations, and preparing minutes properly documenting decisions taken, in accordance with governing documents, applicable legislation, and MD Policy.
    • Oversees the financial and estate data inputs for production of client statements
    • Ensures inventories (assets and liabilities) for all new estates are accurately prepared
    • Participates in collaborative tax planning and execution of strategy with Tax Officer and Regional Trust Officer to minimize income tax owing by estate, beneficiaries or deceased
    • Gathers and assembles information required for preparation of tax returns (terminal T1, T3, etc.)
    • Communicates regularly with Estate and Trust Advisors, Regional Trust Officers, Tax Officer and other internal service providers, both informally and formally, to ensure efficient and timely flow of information to all interested parties; conveys technical material in a manner that is understandable, orally and in writing
    • Maintains status checklists and reports on administration progress, including compliance with MDPT Service Standards, for review by Manager, Estate & Trust Administration and Senior Management
    • Accountable to ensure that regular account reviews are conducted and actioned appropriately, within prescribed time frames

    Do you have the skills that will enable you to success in this role? We'd love to work with you if you have:

      • University Degree and/or relevant experience experience
      • Accreditation: Specialist, Trust Institute (STI) from Canadian Securities Institute; or Trust and Estate Practitioner (TEP) designation from STEP Canada; or Certificate of Estate and Trust Administration (CETA) from STEP Canada is an asset
      • Knowledge of relevant legislation, taxes and government filing requirements regarding estates and trusts
      • Strong knowledge of PC applications, including Excel and MS Word
      • Bilingualism in French and English is an asset
      • Experience in estate and trust administration (Common Law or Quebec Civil Code)
      • Knowledge of trust systems and reporting
      • Ability to work cohesively with peers and service partners
