Job Title: Volunteer Engagement and Store Coordinator

Reports to: Executive Director

Salary: $20.00/hour – with review after successful completion of probationary period.

Employment Type: Part-time, Hourly, Maximum up to 25 hours per week

Schedule: Five days per week (Tuesday, Wednesday, Thursday, Friday and Saturday) with possibility of different days per week as per the business needs and Executive Director approval.

Location: Cobourg, Ontario

Starting Date: January 22, 2024 or sooner

INTRODUCTION

Horizons of Friendship is a Canadian non-profit, international development agency committed to eliminating the root causes of poverty and injustice through the cooperation of people from the South and the North.

Horizons of Friendship supports Central American and Mexican partner organizations that undertake local initiatives, which further this goal.

In Canada, we raise awareness on global issues and work with Canadian organizations at the local and national levels to bring about positive and lasting change.

POSITION SUMMARY

Under the direction of the Executive Director and working closely with other staff members, the Volunteer Engagement and Store Coordinator is responsible for a diverse set of tasks to ensure the smooth and efficient running of Horizons of Friendship’s Thrift Store and other community engagement initiatives. Some of the main responsibilities include collecting donations, pricing of products and maintaining a welcoming environment for clients, visitors and everyone engaged with the store. The coordinator is also responsible for the recruitment, training, and overall support of the store volunteers. On some occasions, this position will be required to support of other operational aspects of the organization by assisting the recruitment of volunteers for activities or tasks.

MAJOR RESPONSIBILITIES

Volunteer & Community Engagement

  • Responsible for the recruitment, training and scheduling of store volunteers.
  • Working with staff to ensure a positive and meaningful experience for all volunteers.
  • Schedule regular communication/staff meetings with volunteers.

· Leading volunteer appreciation initiatives and activities.

· Maintaining an appropriate level of volunteers to ensure the proper operation of the store.

· Providing guidance and support to volunteers on daily operations.

· Ensuring a safe and friendly workplace for volunteers and clients

· Responsible for the recruitment of volunteers for special events and other activities.

· Involvement with the community and attendance at local events to promote Horizons and thrift store locally.

· Contribute to the drafting and implementation of Volunteer Engagement policies.

Store Operations

· Ensuring smooth store operations by planning organizing and carrying out sales and other promotional activities to meet revenue targets.

· Using window displays and other aids for advertising and promotion.

· Responsible for creating a welcoming and inclusive environment for all clients and members of the public visiting our store.

· Directing the pricing strategy

· Monitoring inventory levels and make appropriate decisions on disposal of excess goods.

· Providing a clearly designated drop-off point for incoming goods ensuring drop off area is kept clean and free of all junk donations.

· Ensuring all store maintenance is accomplished, cleaned and supplies ordered.

· Participating in the organization’s communications strategy

· Engaging members of the community to secure a consistent flow of donations for the store.

· Participating in creating programs and advertisements for the promotion of Thrift Store and volunteer recruitment.

· Maintaining a daily register of sales, purchases and taxes

· Meeting with members of the Finance team monthly to ensure revenues are on target and expenses are in line with the budget; provide explanations for variations.

Other Responsibilities

· Supporting the drafting and release of the organization’s newsletter.

· Contributing to the promotion of a “One-Team” culture in the organization.

· Supporting the Manager, Community Engagement and Partnerships on seeking funding for issues related to the store and/our facilities.

· Working with Horizons staff members and other local organizations to assist marginalized members of our community (Cobourg).

QUALIFICATIONS

  • Strong commitment to social justice, and a good understanding of poverty and its different expressions.
  • Previous supervisory experience working with volunteers is required, including working with volunteers in a fundraising setting.
  • Previous experience managing in a retail setting and/or Thrift Store setting.
  • Ability to work as member of a larger team while at the same time being able to be self-directed when required.
  • Knowledge of the Occupational Health and Safety Act compliance.
  • Excellent communication skills, computer and record-keeping skills.
  • Understanding of budget management, controls petty cash expenditures, not for profit compliance and the tracking of financial performance of the store, working in partnership with the Business Administrator.
  • Comfortable working with a team of volunteer staff including providing on the job orientation and training.
  • Excellent problem-solving skills.
  • Demonstrated commitment to excellent customer service and the ability to address customer concerns that may arise.
  • Proven ability to delegate/tasks responsibilities to appropriate volunteers.
  • Experience drafting & implementing operational procedures for store operations (opening and closing the store, accepting and pricing donations) and security procedures for volunteers (handling of cash, keys, access codes) and any other relevant procedures as needed.
  • Maintain confidentiality in all personnel matters.
  • Strong commitment to social justice and anti-poverty initiatives.
  • Certificate of Volunteer Administration (CVA) or equivalent.
  • Fluency in Spanish is considered a strong asset.
  • Experience working in the area of social services is considered an asset.
