Wilderness Vans is a nationally known custom van builder and we are looking for some office help! The Administrative Assistant position will report to the Office Manager. Duties and responsibilities are to provide administrative support to ensure efficient operation of the office and shops. You will support managers, employees and customers through a variety of tasks related to organization and communication. The Administrative Assistant is responsible for confidential and time sensitive material and is expected to become familiar with a variety of unique business concepts, practices and procedures. Ability to effectively communicate via phone, email and face to face is essential. Ensuring that all Administrative Assistant duties are completed accurately, delivered with high quality, and in a timely manner on a regular basis is required. This position will rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.
General:
- Reception/Customer Service: Answer and direct phone calls, mail, web/social media inquiries and walk in customers as the first point of contact. Tactfully respond to complaints and inquiries.
- Carry out administrative duties such as filing, E-filing, scanning and generating reports. Handle sensitive material with confidentiality
- Inventory Control: counting/ordering product, stocking and organizing, shipping/receiving, returns and evaluating reorder points (some lifting up to 35 lbs)
- Website review: work with IT to keep site current and completed
- Estimates and quotes: Compile, organize and produce job estimates and quotes. Review and post Build Time Sheets on a weekly basis
- Production Flow: maintain production flow charts and follow critical production path analysis for each project
- Maintain and organize historical data on past builds for analysis, customer relations and future reference. This includes digital picture files, measurements and floor plans as well as receipts and invoices.
- Maintain compliance with all company policies and procedures.
- Other duties as deemed appropriate or needed
Education and/or Work Experience Requirements:
- Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
- Excellent computer proficiency (MS Office – Word, Excel and Outlook), attention to detail, and problem solving skills
- Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service to both internal and external clients
- Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
- 2+ years of Administrative Assistant experience
Physical Requirements:
- Current driver’s license and clean driving record
- Must be able to lift and carry up to 35 lbs
- Must be able to sit at and operate a computer for prolonged periods of time
- Must be able to listen and speak clearly on telephone
- Ability to maintain regular, punctual attendance
Job Type: Full-time
Salary: $22.00-$27.00 per hour
