Administrative Assistant

Our team is expanding and we are looking for a professional, highly organized individual with attention to detail to fill an Administrative Assistant role.
Role Summary:
This position is a support role to the Advisor(s) and Office Manager. As an Administrative Assistant you will provide exceptional client service and will support the office with administrative tasks. There is potential for growth within the company for the right candidate who has the required skills for providing exceptional client service.
Responsibilities
· Take incoming calls and manage the office voicemail.
· Greet clients when they come into the office.
o Take the time to learn about clients and point out areas of opportunity.
o Update personal information when needed.
· Handle inquires on the phone, over email and in the office where possible.
o Responding to clients in a timely manner.
o Meeting the office client touchpoint expectations.
· Book sales and service appointments.
o Prepare files for upcoming appointments.
o Maintain pending files and requests.
o Confirm client appointments.
· Support the Advisors and Office Managers time management.
o Monitor Advisors email
o Ability to be proactive in identifying the needs of those you are supporting
· Utilizing the Client Relationship database
o Upload of documents
o Technical problem solving skills
o Maintaining client records
· File Management
o Maintain filing records.
o Cleaning up files
· Effective use of your time
o Ensure your duties are completed in a timely manner
· Consistently and accurately follow process and procedures provided and look for opportunities to improve efficiency.
· Light cleaning duties and maintaining a clean, professional front desk/ office area.
Qualifications
· Minimum 2 years of experience in customer service
· Experience in the financial industry is an asset but not a requirement.
· Highly coachable
· Excellent written and verbal communication skills.
· Strong problem-solving skills.
· High attention to detail.
· Proven ability to manage your time effectively.
· Ability to work independently and competently in a fast paced environment with multiple responsibilities and competing priorities.
· Ability to think critically.
· Ability to multi-task and be flexible while maintaining a high degree of accuracy.
· Positive attitude and compose yourself in a professional manner.
Compensation
· The Compensation model is hourly $18-$21 hourly based on experience.
· Holiday time and paid sick/ flex days will be negotiated based on experience.
