Job Profile

Bell Media is seeking a Unit Manager / Administrative Support who possesses strong general administrative skills and is looking to work in a stimulating, rapidly evolving environment. Reporting to Bell Media Agency Quebec’s Director of Marketing and Creative Services, the manager will ensure the smooth basic functioning of the Agency by providing administrative and technical support to the directors and team managers while maintaining the confidentiality of information.

Key Responsibilities

  • Providing administrative support to the directors and managers of Bell Media Agency teams in Quebec.
  • Planning, organizing and coordinating weekly internal meetings, including the agenda, logistics, follow-up, actions to be taken and taking of the minutes.
  • Processing and submitting directors’ expense account claims/reports.
  • Offering support to team managers for posting openings and hiring regular employees.
  • Hiring regular employees and preparing their on-boarding to ensure they can do their job properly.
  • Providing support to managers for hiring contract workers.
  • Assisting team members with various requests: ID cards/building access, equipment, office furniture, cell phones, credit cards, etc.
  • Monitoring budgets in collaboration with directors and finance, if necessary.
  • Entering salary information, confirmations and reports in the payroll and vacation systems (MEDIAPULSE / SAP) in accordance with the collective bargaining agreements for unionized employees and temporary employees.
  • Ensuring that deadlines are met and data is accurate (hiring forms, annual raise for unionized workers, departures, changes of position, authorized leave, salary adjustments, recurring payments, etc.).
  • Creating a payroll register before each pay date to verify the accuracy of vacation information in the files in collaboration with the team’s managers. Making corrections as needed.
  • Ensuring follow-up with suppliers for invoices related to the administrative budget.
  • Maintaining an up-to-date vacation and public holiday makeup day calendar for directors.
  • Collecting and storing reference documents in a shared location accessible to the management team, including bilingual job descriptions, hiring procedures, various instructions for using SAP, BARS, LSCP and MEDIAPULSE and any other relevant reference information.
  • Processing various requests for information and liaising with various departments and internal and external clients.
  • Managing and/or collaborating on special projects throughout the year, if necessary.
