What is the Opportunity?
Provide administrative assistance to RBC Capital Markets.
What will you do?
- Provides high level of service and support to senior managers in a dynamic, fast-paced environment
- Coordinates internal and external senior level meetings, and arrange videoconferences, teleconferences and meeting space
- Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinate related arrangements for all supported managers
- Handles high volume of phone calls and exhibit a high level of service and professionalism
- Coordinates travel arrangements and processes expense reports
- Prepares and distributes divisional correspondence, memos, letters, reports or other documents as requested
- Prepares and submits expense claims for all supported managers and assists in training for the broader department to ensure that all policies and procedures are followed and timely reimbursement received
- Manages monthly invoices and arranges for payment
- On-boards new hires, processes new employees, transfers, termination, etc.
- Ensure approval of vacation requests and maintain vacation calendar for the department
- Order supplies, as necessary for the department.
- Establishes and implements communication standards for the department
- Responsible for participation in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, committees and or group events
- Special projects as assigned
What do you need to succeed?
Basic Qualifications:
- Bachelor’s degree or equivalent
- Requires excellent interpersonal and communication skills

- Ability to maintain high standards despite pressing deadlines
- Ability to solve problems quickly and efficiently
- Ability to handle highly sensitive, confidential and non-routine information
- Self-starter with excellent anticipation skills; problem solving; follow up

- Strong proficiency in MS Word, Excel, PowerPoint and Outlook.

The good-faith expected salary range for the above position is $50,000 - $75,000 depending on factors including but not limited to the candidate’s experience, skills, registration status; market conditions; and business needs. This salary range does not include other elements of total compensation, including a discretionary bonus and benefits such as a 401(k) program with company-matching contributions; health, dental, vision, life and disability insurance; and paid time-off plan.
