The Administrative Assistant provides support to the Finance, Treasury & Sustainability teams with the daily requirements. The position also works closely with a large team of 20+ people and provides diverse administrative assistance. You will be required to work independently, take initiative and function with a high degree of professionalism and confidentiality.
What Else You Get To Do:
- Provide meeting support by booking and preparing meeting rooms, and ensuring any required documentation is prepared and provided in advance of meetings
- Greets and directs all visitors and maintains office security procedures
- Booking and coordinating conference registrations
- Booking travel including flights, hotel, and car rental where needed and preparing travel itineraries for the traveler
- Coding and processing of invoices in the Inspyrus system and maintaining expenses for team members
- Provide support with IT requests by using ServiceNow
- Document management of highly confidential and sensitive information
- Proof-reading, printing and binding reports and presentations for events
- Coordinate departmental group activities and work with other administrative staff across all ATCO Group of Companies to coordinate cross company initiatives through the application of strong organizational and leadership skills
Who You Are:
- Minimum of a High School Diploma
- 3 to 5 years of experience in administrative support
- Exceptional organizational, interpersonal, written, and verbal communication skills
- High level proficiency with Microsoft Word, Excel, PowerPoint, Outlook, Oracle, SharePoint, Teams and Time & Attendance
- Meticulous self-starter who enjoys working in a team environment, needs minimum supervision, and is able to cope effectively under pressure with shifting priorities
