- Provides administrative support to a department or individual. Duties may include: typing, filing, answering phones, scheduling, calendaring, record keeping, coordinating meetings and conferences, obtaining supplies and/or sorting/distributing mail
- May work on special projects to include recording, compiling, retrieving, reporting and analyzing information. Must be able to multi-task and prioritize. Strong communication skills and organizational skills are required.
- Proficiency with MS Office required. Works with moderate work direction, and can identify issues/problems but may need assistance in resolving.
- This position would typically include senior Administrative Assistant who is able to manage, train and mentor other office staff, lead projects, handle confidential and sensitive data.
- Nature of the job is generally creating rather than maintaining and developing rather than monitoring.
- Excellent verbal and written communication skills, MS Office (Word, Excel and PowerPoint) and email systems, strong administrative coordination abilities, customer service experience
- Records management skills including Iron Mountain experience and knowledge. • Working in a drawing document office that includes processing drawings received from engineering companies, searching for electronic and hardcopy drawings and documents, assisting with printing/plotting/scanning, and making PDF’s, as well as filing.
- Above average computer skills and experience using Microsoft Office including Word, Excel, Outlook. Ability in Visio, PowerPoint experience is recommended and considered an asset.
- Experience and knowledge of using databases. (This office uses: Autodesk Vault, Aconex and OpenText)
- Knowledge and familiarity of AutoCAD, Vault, Design Review, TrueView, File Share, SharePoint and Bluebeam would be considered an asset. Above average data entry skills with attention to detail and accuracy and be able to multi-task, be organized, and able to change priorities on the fly while trouble shooting and figure out complicated tasks
- Understanding and knowledge on version and revision control for drawings and documents. Excellent verbal and written English skills required
- Must be reliable, punctual, and available 5 days a week from Monday to Friday, 8.5 hrs. a day with a 30-minute unpaid lunch break.
- Must be safety conscious and physically able to lift Iron Mountain boxes and rolls of paper.
