We are currently recruiting for an Administrative Assistantto join the Arcfield team in Calgary.
Responsibilities:
- Plans, directs, and coordinates administrative support services of the organization, such as recordkeeping, filing, document destruction, mail distribution, travel claims, reception duties, and other office support services.
- Performs normal office functions such as setting up and maintaining files; interviewing callers and making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail.
- Main point of contact for day to day office operations and onsite contractors.
- Initiates and monitors Purchase Orders for Warehouse support.
- Administers petty cash payouts for incidentals incurred by employees.
- Ensures adequate supplies for the office and maintains accurate and updated inventories.
- Initiates and monitors contracts (purchase of office supplies and equipment, coffee machine and supplies, employee apparel, promo items, hotels).
- Coordinates maintenance of facility (trouble calls, office areas and equipment layout and housekeeping, submitting various monthly reports).
- Event planning and coordination.
Minimum Qualifications:
- 3-5 years of administrative experience
- Minimum High School diploma
- Event planning experience
- Intermediate proficiency in MS Office applications
- Strong communication skills
Preferred Qualifications:
- Diploma in Business Administration
