Administrative Assistant – Reports to Controller
Overview
The Administrative Assistant at Edmonton Granite Memorials Ltd. is responsible for assisting the Controller with processing orders, accounts receivable and collections. The role also involves supporting the sales team by taking phone calls, providing quotations, taking payments and managing orders. Supporting Human Resources as delegated also required.
Bookkeeping
- Process orders as received by sales
- Review contracts and work orders – ensure pertinent information is requested
- Input and reconcile sales, Accounts Receivables information in Sage
- Manage Accounts Receivable and collections
- Sort, distribute and return all files as directed
- Ensure accuracy with all entries and report and errors to Controller
- Experience with SAGE and QuickBooks preferred
Sales Support
- Answer phones and transfer calls to appropriate person
- Contract filing according to workflow and processes
- Support sales team with customer payments and collections
- Send invoices to customers via mail or email and follow up when payment is past due
- Ensure permits are filled out correctly and mailed to appropriate cemeteries
Other Administrative Responsibilities
- Retrieve incoming mail and send outgoing mail
- Order all office supplies as needed
- Adhoc reporting as requested
Human Resources
- Support the Controller and President in documenting employee issues as they arise
- Assist with employee claims as needed
- Track employee vacation and sick days
Qualifications:
- Organized
- Detailed Oriented – both task and services
- Service oriented – ability to demonstrate a sense of respect, compassion as well as being courteous and supportive towards clients
