Job description

We are seeking an experienced Administrative Assistant to join our team. The ideal candidate will have excellent organizational and communication skills, as well as a strong attention to detail. As an Administrative Assistant, you will be responsible for providing administrative support to our Director.

Responsibilities

  • Promote Wainwright Children Centre’s vision and mission to parents, staff, and community.
  • Process, analyze and maintain accounts payable and accounts receivable.
  • Assist Director with monthly billing of daycare and OSC fees.
  • Assist Director with producing receipts for parents.
  • Calculate time sheets/records and assess variances to staff entitlements.
  • Prepare banking requirements for the timely payment of bills, wages, and statutory deductions.
  • Contact suppliers to obtain information on price, quality, and delivery capabilities for required goods/services.
  • Assist Director in the development, updating and communication of internal systems, policies, and procedures.
  • Provide human resources support to the Director in the areas of recruitment and on-boarding, performance management.
  • Assist with basic software and hardware administration.
  • Coordinate monthly staff meetings with the Director including the scheduling, agendas, and minutes.
  • Provide a courteous reception and information service to assist callers and on-site visitors.
  • Schedule appointments for the Director as requested.
  • Manage incoming and outgoing mail, arrange for courier deliveries, and assist in clerical work such as copying, typing, filing and the ordering of office supplies.
  • Maintain accurate filing systems.
  • Facilitate the communication of daycare updates through the daycare management software; Brightwheel.
  • Collect and maintain physical and digital office records that contain financial, children and staff data while maintaining confidentiality.
  • Perform other duties as assigned by Director and Board of Directors

Qualifications

  • Education or previous experience as an Administrative Assistant and/or Bookkeeper is considered an asset.
  • Knowledge of accounting programs (i.e Sage50, QuickBooks, Xero, etc.) is considered an asset.
  • Basic understanding of accounting principles is considered an asset.
  • Basic understanding of Microsoft Office Applications (word, excel, etc.)
  • Clean criminal record and vulnerable persons check is required.

Salary will commensurate with education and experience.
