About the Opportunity
Reporting to the Site Medical Lead of Emergency Medicine, the incumbent plays a key role in planning, coordinating, implementing and evaluating the activities of the Dartmouth General Hospital Emergency Department and its associated clinical, educational and research programs.
With minimal supervision, the incumbent provides day to day administrative support to the Medical Lead, Dartmouth General Hospital Emergency Department and / or assigned physician(s), ensuring optimal time management.  In addition, the incumbent oversees the day to day activities of Department’s medical secretarial support staff and booking / registration clerks, including, but not limited to:  ensuring appropriate distribution of workload to efficiently and effectively meet Divisional needs; scheduling time off and rearranging resources during periods of staff absence; maintaining accurate timesheets and payroll information; participating in the recruitment and selection process and the performance evaluation process of Departmental support staff; orientation of medical and support staff to Department and ensuring collaborative team work.  The incumbent is responsible for processing requisitions for supplies and services for the Department; maintaining records of same; and for ensuring cost effective utilization of Departmental resources; working with Emergency Department staff on operational issues such as work orders, repairs and occasional equipment orders; working with Medical Lead and Health Services Manager on major projects such as patient flow initiatives; working with educational leads on CME and SIM initiatives for staff.  The research program at the Dartmouth General Hospital Emergency Department has ramped up in recent years.  Coordinating and liaising with study investigators is required.  The Dartmouth General Hospital has a major educational commitment for medical students and resident training.  Coordination of learners is part of the role for the position.
Additionally, the incumbent is responsible for working with the Manager to ensure appropriate collection of relevant statistical and other data related to Departmental activities to address issues of evidence-based decision support.
 
About You
We would love to hear from you if you have the following:
-Grade XII plus completion of a one year secretarial diploma required
-A minimum of three (3) years' experience in a leadership role required
-Previous experience in Secretary F role an asset
-Completion of medical terminology course is an asset
-Minimum typing speed of 60 wpm is an asset
-Experience in unionized environment preferred
-Current knowledge of concepts/trends in office management
-Highly developed proficiency in common office software (MS Office, Email, electronic scheduling) and experience using a LAN is required
-Above average co-ordination, organization, multitasking and decision making abilities required
-Excellent communicator with highly developed interpersonal skills
-Complex scheduling experience is an asset
-Above average ability to work collaboratively with support staff and management team
-Successful Applicants are required to provide a criminal record check (including Vulnerable Sector Search) to People Services before starting employment and  assume any associated costs as a condition of employment
-Competencies in other languages an asset, French preferred

Hours
-Permanent, Full-time position, 70 hrs bi-weekly
Compensation and Incentives
$24.96 - $27.61 Hourly
