Duties
- Support administration department: Welcome guests, identify their needs, and connect them with the relevant employees.
- Assisting employees with administrative tasks such as ordering supplies, filing paperwork copying, and scanning documents.
- Manage calendars, and schedule appointments for the management team.
- Coordinate travel arrangements for staff members, including making reservations for flights or hotels.
- Perform data entry tasks accurately and efficiently which helps the production department/ inventory department to track down the raw materials and lead product requirements.
- Assist the accounting department to finalize invoices on time and ensure proper receipt of payments.
- Manage petty cash.
- Support the logistics team with filling and submitting necessary reports for environmental and exporting requirements.
Qualifications
- Excellent phone etiquette and English communication skills
- Strong customer service skills
- Proficient in typing with a high level of accuracy
- Familiarity with Office 365 or similar software for document creation and management
- Ability to organize and maintain files and records effectively
- Attention to detail for proofreading documents
- Experience with data entry tasks in a fast-paced environment
- General clerical skills such as photocopying, scanning, and shipping
- Basic bookkeeping experience is a plus, including experience with either QuickBooks or Xero.
- Experience working in a manufacturing environment is a plus
Requirements
- Must be eligible to work in Canada
- Must have a valid Canadian drivers license
This position requires a reliable individual who can handle multiple tasks efficiently. The ideal candidate should have excellent communication skills, be detail-oriented, and possess strong organizational abilities.
Previous experience as an administrative assistant or in a similar role is preferred.
