Position summary:
Reporting to the Graduate Admissions Manager, the incumbent is responsible for coordinating the admission process for Mastercard Foundation scholars in the Fall and Winter. Reporting to the Senior Officer, Recruitment and in close collaboration with the McGill Summer Academy (MSA) Coordinator, the incumbent is responsible to provide a diverse range of support on admissions, registration of students, planning and delivery of the MSA in the late Winter, Spring and Summer.
Duties and responsibilities:
  • Perform and organize activities to support the daily operations of the unit.
  • Implement administrative procedures or systems that are moderately complex in support of the faculty, department or unit’s operations and ensure activities meet or exceed established quality requirements.
  • Determine admission eligibility of applicants, by considering multiple sources of information, based on predetermined guidelines and procedures.
  • Review and make decisions on straightforward admission files. Consult with senior staff on complex applications. Follow up on missing documentation.
  • Apply information received and select the most appropriate procedures for performing admission, government reporting, recruitment, scholarships and student record activities.
  • Communicate with prospective students, applicants, parents, guidance counsellors and other stakeholders regarding admissions, enrolment procedures and applications and other inquiries.
  • Administer activities related to academic student records and liaise with faculties and units.
  • Participate in student recruitment activities. May attend job fairs, high school and CEGEP visits, and Open House.
  • Create material and handouts to bring to site visits or post on website.
  • Establish and foster effective working relationships by identifying needs and providing support in the delivery of services. Assess and resolve administrative problems. When appropriate, inform supervisor and formulate recommendations.
  • Attend meetings.
Other Qualifying Skills and/or Abilities:
Demonstrates high degree of integrity and work ethics in decision-making. Interprets and judges validity of academic records based on pre-determined criteria. Organizes and manages time effectively and efficiently. Works well alone and as part of a team, under pressure by providing outstanding admission service to current and prospective students to meet enrolment targets. Event planning experience an asset. Maintains the highest level of discretion, compassion, and professionalism and is service-oriented. Uses Banner, Minerva, and complete Microsoft Office Tools effectively.
