JOB SUMMARY

The City Archives is a state-of-the-art central facility supporting several municipal and community operated, decentralized satellite centres, that transfers public records of the City of Ottawa and acquires and preserves private records of archival value. The Archives unit delivers archival services by the identification, acquisition, arrangement, description, preservation and management of civic government records and data that have long-term value for the City for legal, historical or other research purposes, and of private records of archival value from local individuals, organizations or businesses that enhance our understanding of the history and evolution of Ottawa, for the benefit of future generations.

Under the direction of a portfolio archivist, you provide assistance with the appraisal, acquisition, arrangement, description and preservation of archival records in the custody of the City of Ottawa Archives.

You will be assigned to one of four portfolios on a rotating basis: (a) reference and outreach services, (b) civic government archives, (c) community archives, and (d) special media and exhibition services.

EDUCATION AND EXPERIENCE

Completion of 3 year university degree in History or a related field

Minimum of 2 years of experience working in an archives setting

CERTIFICATIONS AND LICENCES

Archives and Records/Information Management Certificate

KNOWLEDGE

  • Knowledge of archival principles and practices, including provenance and original order, methods of arrangement, descriptive cataloguing (RAD) and the production of finding-aids to efficiently locate archival materials
  • Knowledge of preservation and an ability to implement preservation techniques for the care and protection of archives
  • Knowledge of regulations and practices affecting access, such as freedom of information, protection of privacy, copyright and ethics, and an ability to provide routine reference services to a wide range of clients
  • Knowledge of the application of information technology to archival functions and an ability to proficiently use appropriate software packages, such as DBTextworks, MINISIS, HTML, Encoded Archival Description
  • Basic knowledge of Ottawa’s history
  • Knowledge of applicable health and safety legislation, including the rights and duties of workers.

WHAT YOU NEED TO KNOW

  • Language Requirement: Designated Bilingual – specific level of language proficiency: French: oral, reading, writing required. English: oral, reading, writing required. Candidates who do not meet language requirements will be required to participate in training.
  • Police Record Check: The successful candidate will be required to complete a Criminal Records and Judicial Matters Check with the Police Services detachment in their jurisdiction to the City of Ottawa’s satisfaction.; Police record checks completed by a third-party company will not be accepted.
  • You may initially be paid 95% of your starting rate of pay, in accordance with the collective agreement.
  • Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic requirements.
