Overview:

The Corporate office of Pembina Pipeline is seeking to fill a Board Liaison and Executive Support Administrator position. The individual will report to the Chief of Staff and will be responsible for all coordination and administrative support tasks for the Board of Directors, as well as providing executive and legal support. The title and role of the successful candidate may slightly differ based on the qualifications of the applicants.


The successful candidate must possess outstanding communication skills and professionalism and have the ability to foresee the Board of Directors' needs.


Responsibilities may include but not limited to:

  • Schedule and liaise with the Board of Directors and plan Board and Committee meetings;
  • Prepare Board and Committee meeting agendas and packages;
  • Serve as the main administrator for the directors' portal and maintain, post and ensure currency of materials;
  • Provide administrative services, including, but not limited to managing calendars, providing reminders of meetings, scheduling calls and meetings, arranging travel and related logistics, monthly expense reports, processing invoices and maintaining accurate and efficient filing system that meets departmental requirements;
  • Prepare and review documents, including agreements, filings & formal correspondence;
  • Coordinate meetings, including planning and organizing materials, booking meeting rooms, venue selection, set up & take down, and food and beverage coordination;
  • Plan and organize offsite strategy sessions and special events;
  • Work in collaborate with the Executive Assistant team, that provide support the C-Suite;
  • Organize and maintain corporate records, files and databases;
  • Support the legal team with other tasks and projects as needed; and
  • Participate and support an equitable, diverse, and inclusive workplace.

Qualifications:

  • Progressive senior level administrative experience;
  • Post-secondary education with preference given to those with a Legal Assistant Certificate/Diploma or equivalent;
  • Advanced MS Office (Outlook, Excel, Word, PowerPoint), and knowledge with SAP and Diligent would be considered asset;
  • High level of professionalism, discretion along with strong interpersonal and exemplary communication skills;
  • Positive and friendly service centric demeanor;
  • Able to quickly modify work priorities to meet unexpected and sometimes competing deadlines;
  • Practical, detail oriented, flexible and dedicated team player who is also capable of working independently;
  • Demonstrated resiliency and sound judgment in dealing with business and corporate challenges; and
  • Maintain complete confidentiality on all business matters.


The successful candidate must be legally able to work in the country of the position. Final candidate will be required to undergo Pre-Employment Background Checks including a Criminal Record Check.
