Office Manager
The Outfitters, Adventure Gear & Apparel Inc. is based in St. John’s, NL operating two retail locations in St. John’s and Mount Pearl. We are a local and independent retailer that specializes in supplying clothing and equipment for self-propelled outdoor adventures. We are looking for a reliable Office Manager. This is a key role that supports the functionality of retail operations and the head office. The tasks of the Office Manager will include bookkeeping, organization, customer service, and computer maintenance.
Full-time, Permanent
Pay commensurate with experience
Accounting:
- Use of Sage 50
- Accounts Payable
- Ensure payments are made in a timely manner to allow discount dates
- Ensure information is accurate and maintained
- Use of vendor payment portals
- Accounts Receivable
- Invoice corporate/government customers
- Follow up on accounts and ensure on-time payment
- Reconcile Sage account balances against SmartVendor account balances
- Credit Card Reconciliation
- Complete and ensure accuracy of the day ends, month ends, and year ends.
Administration:
- Oversee all processes and ensure they are maintained, improved, and updated, always striving for top-level efficiency and accuracy.
- Ensure the office runs efficiently through various administrative, financial, and managerial tasks.
- Oversee coordination of office scheduling, ensuring someone is in the office/warehouse Monday to Friday.
- Track inventory of office and general supplies and place orders as needed
- Assist colleagues whenever necessary
Retail Operations:
- Create and maintain inventory in SmartVendor point-of-sale system
- Receive product into point-of-sale with accurate pricing
- Ensure point of sale system is running smoothly, contact support if needed
- Create accurate product listings for the website
- Maintain exceptional relationships with vendors and organizations
Customer Service:
- Manage corporate and institutional accounts.
- Offer exceptional service to companies and organizations looking to purchase
- Answer the phone and respond to customer inquiries, when necessary
- Provide competitive quotes to government and corporate organizations
- Fulfill large purchase orders in a timely manner
- Willingness to understand and learn new products
The successful candidate has:
- Exceptional computer skills
- Proven experience as an office administrator, Office Manager, or similar role
- Exceptional communication and interpersonal abilities
- Excellent organizational skills
- Familiarity with basic accounting principles
- Excellent knowledge of MS Office and computer maintenance
- Use of Sage 50 is considered an asset
- Education in business and/or administration will be an advantage
- A passion for outdoor activities
Job Type: Full-time
Salary: $20.00-$22.50 per hour
Expected hours: 37.5 per week
