Job description

I. General Accountability and Purpose

This position is responsible for providing administrative and office support services to the CFS Representative(s). In addition, this position is responsible for maintaining files, processing bill payments, preparing a variety of activity reports, and other related duties.

II. Duties & Responsibilities

  • Set appointments, prepare for interviews, handle complaints and concerns, follow up on referrals, provide information on CFS to members and the general public, inputting financial plan information, formatting proposals and processing product applications.
  • Create and maintain member files.
  • Process bill payments and prepare a variety of activity reports for credit union management, CFS Representative(s), and Credential Regional Office(s) as required.
  • Process all CFS mail and handle all courier and fax support.
  • Assist in building the relationship with credit union management and staff.
  • Assist Credit Union management in tracking CFS employee attendance, if required.
  • Performs other related duties as required.
  • Running the day to day operations of the office.

III. Nature and Purpose of Contacts and Relationships

  • Internal: Establishes and maintains effective communication and cooperation with CFS Representatives, Sales Development Managers, Credential Regional Offices, Credential Head Office, and other CFS staff.
  • External: Establishes and maintains effective communication and cooperation with credit union members, managers and staff, and suppliers.

V. Qualifications

  • High school graduate supplemented with post-secondary education in an office careers program.
  • Minimum two years of experience as an assistant in an office environment dealing with internal and external contacts.
  • Completion of the IFIC course (Investment Funds Institute of Canada), Life Licensing course, or the CSC course (Canadian Securities Course), is a definite asset.
  • General investment and insurance industry knowledge and awareness of the Canadian Credit Union System are highly desirable.
  • Demonstrated skills include: excellent telephone and organizational skills, excellent typing and grammar skills combined with strong interpersonal and verbal communications skills. Experience with working with all major types of office equipment. Familiar with personal computers and a full range of knowledge of Microsoft Office products (i.e. Word, Excel, PowerPoint, and Outlook).
