Title: Client Service Associate – Activities

Objective: An integral member of this dynamic team, the Client Service Associate supports the portfolio managers, associates, and advisors in the day-to-day flow of assets within the firm. As part of our Activities Team you will love solving problems, are incredibly resourceful, and have a strong attention to detail.

Tasks, Role & Responsibilities:

· Respond to Referring Agent requests and inquiries and be the liaison for clients regarding requests and support.

· Review Debit Cash Balances and Debit Position Reports daily and assign tasks to our investment team as needed.

· Examine reoccurring payments and contributions to ensure they are correct and communicate a listing of accounts and amounts that can be invested in consideration of management fees.

· Review daily activities for our custodians and assign tasks to our investment team. Ensure everything is processed correctly and follow up on items that are missed or are processed incorrectly.

· Process daily tasks for withdrawals, foreign exchange, in-kind contributions, one-time contributions, donation of securities, share certificates, as well as other daily tasks.

· Assist with Transfer Reconciliations, Follow Ups and Rejections. Review all incoming transfers to ensure we receive what is expected. Review non-registered transfers to ensure book values are correct and update our custodians, if needed. Follow up on outstanding transfers and handle any transfer rejections received from our custodians.

· Process all Cheque Deposits.

· Provide assistance in finding ways to improve current practices, procedures to increase efficiencies and enhance customer service.

· Additional responsibilities and special project work as the role grows and evolves.

Critical Knowledge, Skills and Abilities:

· Love of problem solving, resourcefulness and strong attention to detail.

· Friendly and positive with a penchant for a high level of Client Service.

· Exceptional communication and interpersonal skills along with solid organizational qualities.

· Proven analytical, planning and time management skills.

· Ability to take initiative and can work independently as well as in a team environment.

· Ability to meet deadlines without compromising efficiently, accuracy and attention to detail.

· Tech savviness and proficiency in Microsoft Office.

· Related work experience in the financial services industry desired.

Educational Requirement:

· Post-secondary education would be an asset.
