Communications Assistant

The Calgary Homeless Foundation

Calgary Homeless Foundation (CHF) guides the fight against homelessness in Calgary. We allocate resources for the highest impact and outcomes, maximizing benefits for people experiencing homelessness. Using data and research, we build knowledge and understanding to shed light on the complicating factors that lead to homelessness. In partnership with governments and community, we serve as the trusted advisor on how to leverage our combined resources so Calgarians can journey out of homelessness into a home with the supports they need to thrive.

The Position

We are looking for a supportive, curious, and organized team player who wants to grow their communication and marketing skills. Tasks include tracking information, event planning, creating reports and being a champion of keeping all things organized as a support role to the team. In addition, you will have many opportunities to coordinate and collaborate with other CHF departments, external stakeholders and vendors while supporting CHF’s purpose and ambition. This position reports to the Director, Stakeholder Engagement.

Key Accountabilities and Deliverables

Working with all members of the Stakeholder Engagement department, the Communications Assistant is responsible for the following:

  • Coordinates and provides event planning administration to conferences, sponsorships and general events.
  • Supports Fund Development in managing the administration processes, data entry, and facilitates a positive experience for our donors.
  • Coordinates and maintains a fund development tracking sheet, email monitoring and communication tactics.
  • Maintains/updates documents and processes and creates summary reports that support team efficiency.
  • Provides feedback and insights and suggestions for process improvements, integration and team efficiencies. Support event research, planning, registrations, communications and documentation.
  • Support marketing and communication administrative activities.
  • Develop and maintain the organization's collateral and other duties as assigned by the Director, Stakeholder Engagement.

Education and Experience

The ideal candidate will have the following qualifications:

  • Post-secondary credentials in communications, marketing, or public relations.
  • 1-2 years of relevant working experience.
  • Excellent project management and organizational skills with the ability to work on multiple projects simultaneously in a fast-paced, deadline sensitive environment.
  • Ability to work autonomously but is also open and a collaborative team member willing to share information, knowledge, and experience.
  • Exceptional communication skills, both verbal and written for multiple mediums.
  • Strong computer skills (i.e.: Microsoft Word, PowerPoint, Adobe Creative Suite, WordPress, Sprout, Meltwater etc.) with a desire to learn additional software.
  • Some after hours/weekend events will be required on an occasional basis.

· Analytical: Able to quickly assess situations, build appropriate plans and execute those plans flawlessly.

· Results Oriented: Sets high standards of performance including setting goals and priorities that maximize available resources to deliver results against CHF direction, objectives and public expectations. Will monitor progress and make adjustments as necessary on an ongoing basis.

· Project Management Skills: Proven strong project management skills with ability to multi-task and set priorities within tight timelines.

· Enhancing Organizational Image: Focuses on building and protecting the image, reputation and long-term interests of CHF, including promoting CHF’s reputation as a leader in ending homelessness.

· Resource Management: Is able to identify, obtain and effectively allocate resources required to achieve CHF goals and apply appropriate resources to problems and opportunities.

· Credibility: Demonstrated ability to build organizational trust based on professionalism, expertise and ability to create solutions and deliver desired outcomes.

· Honesty & Integrity: Demonstrates the highest levels of honesty and integrity in all dealings with internal and external stakeholders.
