UVic’s Office of Student Life – Student Conduct Team

The Office of Student Life’s student conduct team promotes accountability, responsibility and community wellbeing by responding to concerns related to impactful and high-risk student behaviour on campus. Working with the university’s Resolution of Non-Academic Misconduct Allegations Policy, the team uses a variety of approaches, including voluntary resolution processes and formal investigations, to resolve student conduct concerns with a lens to encouraging personal responsibility, procedural fairness, support and community safety.


What you’ll be getting up to with your team:

  • Facilitating Voluntary Resolution Processes – Using your skills and experience, you will support students to explore topics such as accountability and impact to address harms and move forward from impactful incidents. Where this is possible and appropriate, and with support from your team, you will facilitate voluntary resolution processes by preparing for meetings, supporting dialogue with students, and drafting written outcome letters.
  • Supporting Investigations – Working as a team, you will contribute to the investigation process by lending your skills and knowledge to the application of the policy and procedures and integration of the student investigation support model into each process. You will support investigations by coordinating meetings with students, participating in interviews, taking notes, and drafting formal letters.
  • Designing and Applying Educational Outcomes – Whenever possible and appropriate, you will help to identify opportunities to encourage student reflection and educate students about their responsibilities as members of the community. You will develop communications and educational tools for students to support their positive engagement and continued growth.
  • Specialized Case File Administration and Support – You will apply your attention to detail and discretion to create and maintain confidential case records. This may range from gathering critical and sensitive information to support individual files to summarizing statistics for annual reports.

  • Excellent Conflict Resolution and Interpersonal Skills – From listening with compassion to facilitating difficult dialogue, you have the experience and skill to engage with a diverse population and to adapt your approach to engage with each individual with care and respect.
  • Strong Communication Skills – You have the ability to apply a variety of communication skills, in person and in writing from including communicating difficult information, outlining technical policy language and drafting informal emails, and the instinct to know when to apply different approaches.
  • Experience working with incidents of harm – This can be difficult work with exposure to sensitive information and heightened emotions; you bring the necessary experience and understanding to approach this role with a trauma-informed lens, reflective practice skills, resilience and compassion.
  • Experience with Policy and Procedural Fairness – You bring an understanding of how to apply policy in a way that promotes a procedurally fair, accessible, and transparent process for participants
  • Awareness and Acknowledgement of Diverse Perspectives and Experiences – In this role you will work with a diverse student population, including those with marginalized identities and those who may face complex barriers to engagement with our work. You bring an awareness of personal and systemic barriers to identify gaps and promote access to supports along with an equitable and inclusive process.

The salary range for this position is:

Recruitment range: $68,097 - $76,641 starting salary determined by the PEA Collective Agreement.

Performance range: starting salary to max of $89,370 is available through annual performance increases.

Job Summary

The Student Services department, within the Division of Student Affairs, includes a diverse range of services including Student Wellness (Health, Counselling & Multi-Faith Services), Residence, Centre for Accessible Learning, the Office of Student Life, Academic Advising for the Faculties of Humanities, Science and Social Sciences and International Student Services.

The Office of Student Life (OSL) provides pro-active educational programming for students by developing and delivering programs to advance UVic’s vision of community building and supporting a post-secondary education experience that nurtures the full development of students. Through unique and dynamic programming and initiatives, the OSL provides opportunities for meaningful engagement in extra-curricular spaces, supporting the capacity of all students to establish belonging and connection, and engage in holistic learning and growth. Additionally, OSL is responsible for the investigation and resolution of non-academic student misconduct allegations. Working closely with our campus partners, OSL supports the coordination and response for high-risk non-academic student issues that require case management support.

Position Summary

The Coordinator plays a critical role in the administration of critical support services to students by assisting with the review and response to student conduct and high risk behaviour concerns managed by the Office and university.

The Coordinator is responsible for providing specialized administrative and procedural support functions related to the university’s student conduct policies including the Resolution of Non-Academic Misconduct Allegations policy, associated student support model and student programming.

The Coordinator, with supervision, works to support the following areas of investigations and responses under the policy:

  • Leads, with supervision, informal resolution processes with students to reach voluntary resolution outcomes, where appropriate, and in keeping with the principles outlined in the policy;
  • Acts as a co-investigator or lead investigator in formal investigation processes as outlined by the policy in response to non-academic student misconduct matters for undergraduate and graduate students;
  • Prepares student-facing communications and documents related to investigation and resolution process documentation and communications in a manner that balances clarity, procedural fairness with support and student readability; and
  • Manages each student interaction with students and procedural step in alignment with the support model embedded into student conduct processes and best practices in student development theory, student-centered support, Trauma-Informed Practice, and accessibility.
Job Requirements

This position requires a graduate degree (or equivalent) in a related field (e.g., conflict resolution, legal studies, educational psychology, social work, public administration, Student Affairs administration) and three (3) years or more of professional experience in related work. Equivalent combinations of education, training and/or experience may be considered.

Candidates who bring an equivalent combination of lived experience, education, training, and/or work experience are encouraged to apply, as well as those with experience and expertise gained from unpaid and unrecognized labour, as is often the case for people with intersectional identities.

Knowledge & Experience requirements include:

  • Strong foundational knowledge and understanding of best practices in conflict resolution, mediation, restorative justice
  • Demonstrated understanding of the principles of natural justice and procedural fairness
  • Fluent understanding of trauma informed practices, best practices in working with individuals who have been exposed to critical incidents and trauma
  • Knowledge of student development theory and an awareness of contemporary student health and wellness challenges
  • Knowledge of personal and systemic barriers that can impact student success and access to support services for students who may face multiple and complex barriers, including but not limited to students who identify as Indigenous (including two-spirit), racialized, transgender, gender non-binary/non-conforming, LGBTQ+, neurodivergent, first-generation, and/or persons with a disability


Competency requirements include:

  • Excellent interpersonal and communication skills including an ability to facilitate and support sensitive, uncomfortable, and nuanced conversations with care and respect
  • A high level of critical professionalism ability to deal with sensitive issues with tact, diplomacy and compassion;
  • Excellent research, analytical, critical thinking and problem solving skills
  • Ability to build and support collaborative relationships with diverse stakeholders including student groups and university stakeholders
  • The ability to work effectively both independently and in a team environment, collaborating with a broad range of people to achieve goals and objectives;
  • Excellent written communication skills with a high degree of competence in technical writing and writing from a support centered lens
  • Demonstrated skills in working individuals experiencing crisis, conflict, impacts of violence, multiple barriers to wellness and their families/support people
  • A high level of confidentiality and professionalism, and ability to deal with sensitive issues with tact, diplomacy and compassion
  • Demonstrated administrative, organizational skills and an ability to oversee a wide variety of projects and manage competing priorities
  • Proficiency in the use of standard office equipment and software

  • Experience in program development and implementation including educational materials such as workshops, online training, communications and awareness materials, presentation and facilitation skills
  • Strong research, writing, editing and reporting experience indicating a strong attention to detail.


Unusual working conditions:

  • Extended periods of sitting
  • This position will be part of a team that responds to students in distress, and students who may be a risk to themselves or others, or students exhibiting concerning behaviours that require consultation and referral to campus services, including Campus Security and the Mental Health supports
