Reporting to the Project Manager, the Document Control Specialist is responsible for implementing effective project information management and Document Control methods, procedures, and systems on all phases of the project. This role reports functionally to the Lead, Information and Document Management (IDM) for alignment with corporate IDM standards and continual improvement processes.

Responsibilities:

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Managing Document Control on assigned projects, implementing IDM standards, processes, and tools on assigned projects 
  • Ensure project information and documents are managed effectively through the full project lifecycle, including document handover, project close-out, and archiving
  • Control numbering (document coding), application of metadata, and organization of project documentation
  • Develop and create specific project IM plans
  • Ensure all documents are uploaded, maintained and kept up to date on the Teck document management system (SharePoint) in accordance with company specified protocols
  • Ensure proper document distribution via workflow within predefined Key Performance Indicators
  • Liaise with contractors on all IDM processes 
  • Regularly report Document Control statistics and status of pending reviews to project management
  • Perform regular quality checks on contractor/service provider submissions
  • Conduct regular quality audits on SharePoint library contents and application of IDM standards and procedures
  • Coordinate, manage, and keep up to date the project distribution matrix  
  • Coordinate and organize job-related photographs for inclusion in project records
  • Train users on IDM tools and procedures and provide end-user support
  • Participate in continual improvement of document management processes within the overall IDM function

 


Qualifications:

  • Post-secondary degree or diploma in Archival Studies, Library and Information Studies, or a related field
  • Minimum five years of experience in a similar Document Control role 
  • Strong skills and experience in Information Management and Document Control
  • Proficient in Microsoft SharePoint, Word, Excel, Outlook, PowerPoint, and Adobe PDF; proficiency in other EDMS systems is an asset
  • Knowledge of the mining and or construction industry is an asset 
  • Similar experience in an Owner’s role is an asset
  • Experience managing information and documents involving regulatory/government agencies, community engagement, permitting, and environmental baseline studies is an asset  
     

 

Salary Range: $65.00 – $75.00 / Hour

 

The actual base salary offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.

 

Successful candidates must be willing to satisfy the pre-employment requirements of a pre-employment drug screen and three professional references.
